March Band Booster Minutes

Meeting called to order at 7:07 pm.
Secretary’s Report:
Motion was made to approve the March Minutes by Nancy Molin and seconded by Karin Hess.
Mr. Hunter cannot be here for our next scheduled meeting on May 12. A vote was taken to have the meeting without him or to reschedule. The majority agreed to reschedule. He is available on Weds. May 11. He will submit a form to have access to the building. Freshmen band parent orientation is scheduled before the next meeting. Jill wanted to know when middle school auditions are. They are scheduled for May 9 and May 11.
Correspondence. Debbie got a letter from Indian River asking us to confirm that we want to use them again next year and to provide them with a contact name and phone. Debbie will leave her name and number. All agreed to keep using Indian River. Debbie will sign and return the letter.
Director’s Report
q I traveled to Western Carolina a week ago for a band clinic. WCU is the site of our band camp this summer. The area is nice, and secluded. The facilities are fine. We should have a good time there.
q Concert Festival was a success. Of the 55 bands participating in our district only 8 received straight superior ratings. Two of those were from Enloe. Congratulations to our Symphonic Band and Wind Ensemble.
q Our trip to meet composer Mark Camphouse was as good as I had expected. We left on Saturday morning, the day after concert band festival. Mr. Camphouse was most impressed with our well-mannered students and the level of questions they asked. The kids loved him and kept him after our allotted time to sign autographs and pose for pictures. The next day we traveled east to King’s Dominion. It turned out to be a perfect day, high around 70 and just cloudy enough to keep the big crowds home. The trip was a great success and the students won’t soon forget it.
q I am offering extra credit to students who attend community performances such as the ones listed in the following “upcoming events.” If a student will attend a concert or recital and save the program I will give them 100 points as a test grade.

Trip to Radford – glowing remarks from Mr. Camphouse and pianist. Symphonic band will play his piece – Yosemite Autumn at the spring concert. Wind ensemble members who went on the trip will join the symphonic band on stage.
Nancy asked Mr. Hunter if both bands will play at commencement. Wind ensemble members are required to play if they are not graduating. We will fill in with symphonic band students. They do not have to be at graduation practice – they will have their own practice.
Sara asked about rookie camp. Mr. Hunter said there is none since there is off site band camp.
Chip asked about the schedule. Off site is August 8-13 then 3 long days at school. (12 hours). Night camp will be 5 to 8 instead of 3 to 8 because of complaints from parents about difficulty getting students there at 3.
Lynn asked about sections since band is increasing in numbers. She wanted to know if there would be larger sections or more sections (i.e., 2 trumpet sections or 1 large) Hunter said that the sections would be larger.
Ways and Means
There are still 12 students that owe candy money. Debbie will send a letter to them through Mr. Hunter. Chip suggested mailing directly to parents. He can send addresses or print labels. Mike will ask Debbie. Chip also suggested phoning. Mike Hostetter wants to know who Saldi is. He has a check for a whole box that he can’t link to any band students. If money is not paid by the end of the year, Mr. Hunter will give names to administration. Seniors will not get their diploma if money is still owed.
Operations
Car Wash –Jill has arranged details. They will match up to $1000. Everything is approved with the administration.
Shelves – Mr. Hunter loves shelves. He is very appreciative of the effort.
Off Site Band Camp - Penny gave prices of different bus companies. American Prestige was cheapest. We will also need a UHaul – Chip said that we have a file with them and they give us a break on mileage. Scott asked about using school system buses. Mike said that you would need an extra truck for luggage. Chip speculated that an extra truck with school buses would probably be cheaper than the cost of the tour buses.
Doug asked about costs. Chip said that the boosters agreed that they would pay the first year transportation expenses. Fair share does not include anything for transportation. The group is still looking into transportation options. Cindy asked if we thought about parents driving one way and using buses one way. Jill said probably not because of the safety and distance. Also, Mr. Hunter said you risk late comers, breakdowns. Nancy Molin asked when we need to make a deposit for the buses. American Prestige said soon because they only have 2 55 person buses left for those dates. Mike Johnson made a proposal to go ahead and made a deposit. Drew seconded. Mr. Hunter said that if we have more than will fit on 2 busses, chaperones can drive. Jill said we could possible rent a large passenger van. Doug asked if we should subsidize transportation costs instead of paying completely. Mike said we have enough money to pay completely. Cost of camp is $250 per person, including cost of chaperones.
Lynn asked about survey question about financial difficulties. Chip explained about the fair share policy about scholarships. Only 1 application was applied for last year and a partial scholarship was given. Chip anticipates more scholarship requests next year. Lynn asked how band boosters can handle those extra expenses. Mr. Hunter said that we underestimate income and overestimate expenses on budget, so we end up with extra money at the end of the year.
Mike said that in the future, Band Boosters can float a loan until students can raise fair share funds... Fair share policy will have to be amended. Chip asked if there is discussion on motion to pay for transportation. Scott wants to know what cancellation policy is since we don’t really know true numbers. Penny will find out. Vote taken – no one opposed. Chip told Penny to go ahead and make reservations. Jill said we are thinking about adding fund raising. Chip also mentioned other schools have “mandatory volunteering”. Nancy commented that $250 is a cheap option compared to other summer camps and activities.
Fair Share
Statements were sent out to students who still owed classroom fair share. There is 80% still owing. Checks are starting to come in. Parents had lots of questions about different fund raising. Parents still are not aware of grocery gift cards. This is the easiest fund raiser and can be done all year long. We need to advertise more.
Treasurer’s Report
Available cash is approx. $34,000. Including $5500 unpaid fair share and more candy money due, there will be $44-45 thousand dollars. Mike wrote a check for $4200 last month towards $8500 we owe for uniforms. Do we still want to put away $2500 a year for uniform amortization? Mr. Hunter said it might be 10 years between funds instead of 7 because of new Wake County high schools. Uniforms will be more expensive and we don’t know how much money we will get. Yes, we need to continue. Rita Goodman scholarship is not being funded. Do we want to fund or let it go? $2500 originally endowed. Students apply and one student is awarded $250 scholarship to pursue music in college. The last few years, the boosters opted to pay scholarships out of general funds and leave endowment alone. Fund is currently $4900. Mike said that it is in an investment fund. Chip suggests we put the money in another account so that it is accessible and pay it down until it is gone.
Budget - largest budget increase was instruction. Chip said Marching Band expenses work out to $380 but board agreed to keep at $375 because of the added expense of off site camp.
Mr. Hunter would like to add a competition next year and a few out of town competitions so transportation expenses will go from $2000 to $5000. We are saving $1500 on writing and arranging. Mr. Hunter questioned the allocating of $1200 for awards. Ribbons get left on the table after awards – kids are not interested. Mr. Hunter would like to change budget to $500, but he would like input. Jill suggested maybe a sign up for awards, so kids that really want them will get them. Chip suggested that committee get together next year and decide.
Marching Band Packet will go out May 1 (sent to middle schools for incoming freshmen) since Mr. Hunter wants commitment by the end of the school year. Also, deposit is due by the last day of school. Second chance to get packet will be at auditions.
Change was also suggested that extra/optional items ordered be paid separately instead of out of fair share. A suggestion was made to change initial deposit from $150 to $100. Keep second deposit at $150 and add $50 to Nov. amount.
Nominating Committee – Vote is set for the May Band Booster Meeting. The following is presented by the nominating committee. Anyone can add their name or others to slate. Call Sara Morrison Rowe if you would like to add a name. The banquet is before the next meeting. Chip will announce the slate at the banquet and invite people to add their name or others.
