Enloe Band Boosters Meeting

April 12, 2007

 

Attending:   Lynn Condreay, Speros Fleggas, Karin Hess, Beverly Hockenberger, David Hockenberger, Robert Hunter, Deborah McMillan, Barb Marley, Judy Melton, Beth Narron, Kaye Poole, Cynthia Rohm, Ron Scott, Susan Siphers, Penny Werner, Kathy Ziminsky-Montgomery, and Alice Zuber

 

Call to order:  President Beth Narron called the meeting to order at 7:08 p.m.

 

Minutes:  Beth asked for corrections to the minutes from the March meeting, which were distributed via email.  Correction was made that the students going on the Smoky Mountain trip will be returning on Saturday evening around sunset.  This was incorrectly recorded in last month's meeting.  Please be aware of that change.  A motion was made by Karin Hess and seconded by Ron Scott to approve the minutes as corrected.

 

Director's Report:  Mr. Hunter reported.   See below:

  • Concert Band Classes
    • Jazzical: Enloe cd's and dvd's are finally available.  2-cd set = $20 and 2-dvd set = $30.  Joel will bring them with him when he visits on Monday April 23 and Tuesday April 24.  Send payment then.  Make checks payable to Joel Martin.
    • Everyone is preparing diligently for our spring concert, which will feature alumni as a finale.  I welcome your help getting the word out to our alumni.
    • Spring band placement auditions are approaching.  Mr. Hunter will be explaining procedures in classes.  We will also post information on our website: enloeband.org.
    • The W/E + seniors trip to the Smoky Mountain Music Festival will cost each student $250.  $50 deposits have been received and the $200 balance should be paid by May 1.
  • Jazz classes
    • Several jazz improv students plan to take advanced improv next year; a new course offering.  Now there will be two jazz classes to accommodate escalating interest.
  • Marching Band
    • Many MB activities are planned from now until the end of the school year.  Check the calendar.

Notes from Director's Report –

*CD and DVD's from Joel Martin's music are ready.   He will be at Enloe with those and students can purchase on Monday, April 23 and Tuesday, April 24.

*Students are working in preparation for spring concert and are excited about it.

*Auditions for band are coming up soon.   Info has been mailed out to middle schools. 

*Smoky Mtg trip will cost $250 per person, deposit of $50 already paid, balance is $200. 

*New class for next yr – beginning jazz improv. and advanced jazz improv. Also a woodwinds class and a brass band class.

* Note change to calendar – Guard auditions are May 7, 8, and 9.
 *Rookie boot camp will be at Ligon this year.  We need Marching Band kids to help.

TREASURER'S REPORT

Enloe Band Boosters

April 12, 2007 

AUDIT OF FISCAL YEAR 2004 (July 1, 2004-June 30, 2005) RECORDS:

      Still need to contact John Montgomery regarding audit of our 2004 Fiscal Year Books. Our extension request to the IRS for filing the Tax Return for last FY was approved. The return is now due by May 15, 2006. 

BUDGET STATUS:

      The review done of the current Fiscal Year (July 1, 2006 thru June 30, 2007) actual versus budgeted expenses was utilized during the budget meeting on

March 25, 2007. 

TREASURER POSITION FOR NEXT YEAR:

      An overview of the Treasurer position's duties and responsibilities is being prepared and a recommendation for an Assistant Treasurer position to be defined will be made, if necessary. 

NC SALES TAX REFUND REQUEST FOR 3 YEARS:

      Have completed review of fiscal year 2004 and computed $1,204.04 in refunds. Documents are being prepared for Beth Narron's Mother to work with on FY 2005 and 2006 since the Treasurer is finding it difficult to complete this project because of workload.  

RITA GOODMAN SCHOLARSHIP FUND ACCOUNT:

      As of April 11, 2007, we have $5,611.36 in one of their Mutual Fund Accounts (Ultra Short-term Income-Inv.).  

FUNDS STATUS:

First Citizens Account Balances per First Citizens as of 04/12/2007:

Operations: 

VP of Operations, Penny Werner, reported. 

**We need parents to help out during middle school auditions to spend time with parents of middle school students, introducing the parents to the band program and answering any questions, while the students are auditioning at Enloe.  Dates are May 7 and 9, right after school.  Guard auditions will be May 7, 8, and 9.  Refreshments will be provided by the band's Hospitality Comm.  Please notify Penny if you can help  pwerner@wcpss.net

**Orientation for new band students will be held May 22, 6-8pm in the cafeteria.  This is primarily geared for parents of new band students, but the new band students are also welcome.  Breakout sessions will be held, pairing mentors will new folks.  This is a great information session for new band parents. 

**Planning for upcoming band camp is underway.  The proposed cost per student this year is $325, up from $300 from last year.  This proposed increase is due to Western Carolina's increased price to us.  Discussion ensued regarding cutting our expenses by reducing the number of chaperones.  It was felt that we really have not been overstaffing the camp with the number of chaperones we have been using.  We feel good that we have always been able to take good care of our kids, and we would like to continue that fine tradition.  Thus, the proposed cost per student will stand at $325 per student, passing along the increase in cost that WCU is charging us.  It was also noted that with the previously held away band camps, chaperones have had to do a lot of shopping during the camp to have adequate supplies to cover the week.  This year band families will be asked to donate supplies to send along (for example paper towels, antibacterial wipes, bandages) to held reduce expenses incurred.  Donations will be encouraged, not required.  This will be covered in the May parent orientation, and a notice will be sent out to all families with info as to what type of supplies are needed.  The actual band camp fee will be voted on at the Band Boosters meeting in May, as will the budget for next year.

We will be voting on the slate of officers at the May Band Boosters' Meeting.  A huge thank you to the Nominating Committee: Ron Scott (Chair), Barb Marley, and Susan Siphers. They have also begun recruiting for committee chairs and other positions. 

 

Ways and Means:

VP of Ways and Means, Lynn Condreay, reported.  Lynn's full plan for the year for fund-raising is included below and will be shared with parents at the orientation meeting in June.  The report below is

a draft, which is intended to serve as a guide in planning for next year.  Some things may change and likely will.  If anyone wants to serve as the contact or to coordinate some of the fundraisers listed as 'contact : TBD', please contact Lynn Condreay directly  at lcondreay@nc.rr.com  . Also, some additional fundraisers are being considered that are not listed in the report.  Thanks to those who have already agreed to coordinate individual fund-raising events/efforts.

 

Notes of interest:

**Those parents wishing to participate in the Durham Bulls project must be present for training on May 16.  This is not for students, rather adults only.  The training will probably be scheduled 6-9pm.  Training covers you for 3 yrs.  So far we have opportunity to work 12 games, but we may be able to schedule as many as 19.  We have heard from lots of parents who want to participate.  We hope to be able to schedule two games for each adult wanting to work, mixing veterans with rookies.  This promises to be a stronger money maker this year than last.

**Silent auction is coming together very well.  Committee members have been actively recruiting donations, including university items, donations from wineries, two weekend getaways, lots of restaurant gift certificates.  We are very close to landing a really nice item that may be used for a raffle in conjunction with the silent auction effort.  More on that later.  The silent auction will be held during the Family Night event on August 24 (the dinner that's always held just before school starts when the families get to see a glimpse of the year's new show).  Folks will be able to make their silent auction bids while they are hanging around before and during dinner.  Suggestion was made that it be pitched to Enloe faculty, who will be working at school that day.  While the auction is well on its way and we have 3 folks working hard, we could use some more help.   Anyone wanting to get involved with the silent auction should contact Ron and Liz Scott, auction chairs rscott6834@nc.rr.com

**Donut sales are not being held this year because we understood that we are no longer allowed to do that due to a WCPSS regulation.  However, Ron noted that there are at least 3 other Wake Co high schools who are selling Kripy Kremes.  He would like to contact a school board member for clarification.  Judy volunteered to be in touch with Wake Co School Board member Beverly Clark to find out what the rules actually are so that can identify what we are allowed to sell.

Fair Share:

Fair Share Coordinator, Karin Hess, reported.  The balance on the classroom Fair Share is due April 30.  Email notices on this have been sent.  Karin reported that as a result from the recent budget meeting, the proposed Fair Share for next year is the same as last year, with Marching Band Fair Share at $395, and Classroom Fair Share at $95.  The following payment schedule for next year has been proposed.  It will be voted on by the boosters at large when the budget is presented at the May meeting.

June 1, 2007 – Away band camp first payment due of $165 (deposit to

hold the student's place in band)

July 20, 2007 – Away band camp second/final payment due of $160

August 24, 2007 – Marching Band first Fair Share payment due of $75

September 28, 2007 – Marching Band second Fair Share payment due of $100

November 2, 2007 – Marching Band third/final Fair Share payment due of $220

April 30, 2008 – Classroom Fair Share payment due of $95

This payment schedule attempts to allow families wishing to fundraise to maximize those opportunities.

A huge thank you was extended to Karin, who has done a totally awesome job as Fair Share Coordinator.  This is a huge job!!

Hospitality:

Maureen van der Horst will be contacting folks to help with the end of year banquet, which will be held May 25.  We'll be sharing information at the banquet regarding need for volunteers.  Volunteer form is currently under review.

New Business:

Speros suggested that we look into the possibility of corporate sponsorship, specifically, contacting the construction company doing all the work at Enloe to see if they can provide some sponsorship to the band if we put out their sign.  Mr. Hunter will get the name of a contact from Ms. Vagle and Ron will contact them.
