Enloe Band Booster Minutes – December 2007

Meeting date: December 13, 2007
Location: Enloe High School

Attendees: Ron Scott, Jeanne Marlowe, Lorraine Johnson, Jay Johnson,
Barbara Lee, Robert C. Hunter, Liz Scott, Beverly Hockenberger, Katie
Dunn, Jim Connor, Rhonda Connor, Matt Rice

Meeting called to order at 7:20 pm by President Ron Scott

I. Minutes of the November 8, 2007 meeting – Lorraine Johnson
made a motion to approve the minutes as submitted from the November
meeting. Katie Dunn seconded the motion and by unanimous vote the
minutes were approved.

II. Band Director's Report- Robert C. Hunter

Mr. Hunter reported that the concert on Thursday was successful. The
Symphonic Band consisted of some students who had not played an
instrument before and had not auditioned. Mr. Hunter stated that all
band students would audition next year. There will be a class of all
percussionists next year. This year there is a class of woodwinds
and a class of brass players. Mr. Hunter stated that he believes
this allows the students to learn more and focus on fundamentals.

The marching band is conducting a tour of middle schools on Friday,
December 14 to recruit for band members in high school. Mr. Hunter
stated that recruitment is not necessarily just for Enloe High, but
for other high school bands as well. The band will be visiting Salem
Middle, Apex Middle, and Martin Middle. The students will be driving
in a caravan behind the bus.

Mr. Hunter reported that the officers of the marching band requested
that he reconsider and let the guard go on the tour. Mr. Hunter
denied their request.

III. Treasurer's report: In Patricia Fleggas' absence, Ron Scott
disseminated her report.

TREASURER'S REPORT
Enloe Band Boosters
December 13, 2007

AUDIT OF FISCAL YEAR 2005 RECORDS:
Nancy Brenner has contacted Keila Keadle to pick up the
records for Fiscal Year 2005 for audit. Nancy is also working on
getting Fiscal Year 2006 records ready for Keila to audit.

NC SALES TAX REFUND REQUEST FOR 2004:
Jay Johnson has the records for 2004 and will complete the NC
Sales Tax Refund filing by December 31st. He will then begin work on
2005.

RITA GOODMAN SCHOLARSHIP FUND ACCOUNT:
As of September 7, 2007, we have $5,642.84 in one of their
Mutual Fund Accounts (Ultra Short-term Income-Inv.).

ITEMS OF NOTE:

Veteran's Day Concert:
To date we have received $511.84 in donations.

Marching Band Photo Sales:
The General Fund recognized a $326.15 profit from the photography
sales.

A question was raised about how much it costs to commission a piece
of music. (Note: Money collected at the Veteran's Day Concert is
using to pay to commission a new piece of music.) Mr. Hunter replied
that it depends on the composer. Mr. Hunter tries to use "up and
coming" composers who will accept the amount we have collected over a
two-year period.

Beverly Hockenberger asked about the fair share amount that will roll
over to next year. Liz Scott reported that there is about $4,000 to
roll over to next year.


IV. Operations Report – Beverly Hockenberger

Beverly stated that the reception went well after the concert and she
has heard of no concerns that need to be addressed. A discussion was
held about the format of the concert. A new format was used where
the audience could leave after their child's concert. It was
recommended that band boosters help at future concerts with ushering
and concert etiquette. There were several interruptions during the
concert with cell phones beeping.

V. Ways and Means

Lynn Condreay was not present but her report was read by Ron Scott.
Ron reported that $711 was raised through donut sales. The water,
granola bars and juice have been selling well. Donut sales will take
place again on December 14, 2007, the last for this year. Donut
sales will start back again on January 4, 2008. Lynn's report
indicated that $112 was raised for poinsettia sales. The band was
not able to get enough volunteers to play at Sam's Club. Ron asked
Mr. Hunter to put the Sam's Club date on the calendar next year. Ron
reported that we will continue to collect change. Jim Connor is
still looking into grants. He needs demographics since many grants
request this information. Matt Rice volunteered to help Jim with this
information. Jim requested information about stories of alumnae who
have continued in music.

The Durham Bulls fundraiser will start again in the spring of 2008.
Grocery card sales continue. A reminder was given that you can use
grocery cards to purchase other gift cards.

The last Friday in May is the spring concert and will include a
concert by Enloe Alumnae. Mr. Hunter requested help with getting the
word out about the alumnae concert and reported that David
Rockefeller and Tom Jenner had committed to play in the concert. A
suggestion was made to create an alumnae band T-Shirt as a
fundraiser.

VI. Fair Share – Liz Scott

Liz Scott reported that eight families have still not paid their fair
share amount that was due in November. $1400 is still due. Efforts
are continuing to contact these families. Mr. Hunter requested that
we require a commitment to the band by band members and not allow
recipients to receive scholarships for fair share unless they agree
to participate in fundraisers. This year's scholarship recipients
did agree to pay a portion of the costs. Mr. Hunter suggested that
there are many jobs that can be done to help such as cleaning out the
bus, cleaning the band room, etc.

Mr. Hunter stated that he would support a policy that requires if
payment deadlines are not met, then that student would not be allowed
to participate in a competition. Ron Scott said that we are looking
at the payment schedule, particularly the last payment. A suggestion
was made that we break payments down into monthly payments. Another
suggestion was to change payment of classroom fair share to first
semester instead of April as is currently handled.

VII. Old Business:

Mr. Hunter reported that he has not had a chance to look into the
field orientation to determine if scaffolding is needed or not needed.

VIII. New Business:

Katie Dunn agreed to take on the duties of Marching Band
Secretary for next year
and was commended for this. She has already met with Karin
Hess and begun the
transition.

Away band camp:

Jim Connor checked into away camp locations. Frostburg in Maryland
and Western Carolina in North Carolina were top locations. Western
Carolina offered only a partial week. Frostburg has offered housing
with a basement for storage of equipment. A map of the campus was
passed around. Jim reported that there will be another high school
band at Frostburg during the same week. A handout was given showing
the approximate costs for Western at $40,500 and Frostburg, $41,000.
A discussion was held about the pros and cons of both locations.

Lorraine Johnson made a motion that we approve Frostburg College as
the location for the 2008 Away Band Camp. Jay Johnson seconded the
motion. The vote carried unanimously.

A discussion was held about transportation to away camp. Jim Connor
stated that he had received bids from 13 companies with prices
ranging from $8,000 - $20,000. Jim stated that he will come back to
the January meeting with prices from three companies. Beverly
Hockenberger suggested that we stick with Holiday Transportation
based on our satisfaction with their past services.

Ron stated that it will be very important that we watch our behavior
this year as we want to have a good reputation with Frostburg. Mr.
Hunter commented that Enloe usually always enjoys an excellent
reputation and we want to keep this up. Ron recommended that the
parents in charge of away camp this year review the guidelines for
chaperones and their duties and look at whether changes need to be
made. Ron also asked Mr. Rice if he would be able to attend camp
this year and Mr. Hunter agreed. Mr. Rice will check into this with
Dr. Cochran. Ron re-emphasized that this is an important issue that
we must pay attention to.

Uniforms:
It was reported that Susan Siphers is working on the uniforms. Every
few years, money (about $20,000) is received from Wake County Public
Schools for the band program. Mr. Hunter stated that the 2009-2010
school year is when Enloe is scheduled to receive the allotment. Mr.
Hunter stated that students in band classes who are not in marching
band will be asked to participate in parades. Therefore more uniforms
will be needed to accommodate extra marchers in parades. At the end
of January or February 2008, an inventory will be made of the current
uniforms to determine exactly how many are available. Seven years ago
uniforms were bought with the Wake County allotment and $10,000 was
left to buy instruments. Mr. Hunter would like to continue to use
our current style uniform which is a classic style, so there will be
more money for instruments. Mr. Hunter anticipates that we will need
to use a higher percentage of the $20,000 for uniforms.

A question was raised about what is the Rita Goodman Scholarship. It
was explained that this is a scholarship given by the family of a
former Enloe Band student. The scholarship applicant must intend to
be a music major. The scholarship was posted in May 2007, but no one
applied last year. Mr. Hunter also stated that there are also
scholarships available, usually $50, to attend band camps like the
ones at ECU or UNC-G.

A question was raised if there was a marching band video this year.
Ron stated that there was not one currently, but if anyone has any
videos, please let him know and we can get a video made.

Four Year Marcher Pins:
Jim Connor made a proposal that the Enloe Band Booster organization
vote this evening to authorize the purchase of a minimum of 100 pins
to present to all future Enloe Marching Band members who successfully
complete four consecutive seasons of Enloe Marching Band. The cost
for 100 pins is $261.00. Two options for designs were shown in a
handout presented by Jim.

Katie Dunn made a motion that Band Boosters spend $261.00 to order
the 100 pins for four-year marchers as shown in the handout (Option 1
design). The motion was seconded by Jay Johnson and passed by a
unanimous vote.


A motion was made by Lorraine Johnson to adjourn the meeting; the
motion was seconded by Liz Scott and the vote carried unanimously.
The meeting was adjourned at 9:20 pm.

The next meeting is scheduled for January 10, 2008 at 7:00pm at Enloe
in the band room.
