Enloe Band Booster Minutes-February 2005

February Band Booster Minutes

2/10/05

Attendees:

Nancy Brenner, Ruth Bromer, Karin Hess, Beverly and David Hockenberger, Debbie Hostetter,  Robert Hunter, Mike Johnson, Jill Kirby, Nancy McLean,  Drew and Sara Morrison-Rowe,  Chip and Susan Teeter, Penny Werner

Meeting called to order at 7:10 pm.

Secretary’s Report:

Motion was made to approve the January Minutes by Sara and seconded by Penny.

Director’s Report:

q       Breaking news flash!  Enloe will not be able to attend concert festival on Wednesday March 16 as was originally hoped.  I had assumed most bands wanted to wait until the end of the week, but that is not the case and it is impossible for us to take both bands on the 16th.  Our second choice, Friday the 18th will likely be approved.  However, I need to know of conflicts ASAP.  That is the last Friday before spring break.  I hope that families can work around the change of plans since a) most kids are attending the band trip on Saturday, and b) there are still many days left in spring break.  I apologize if this is an inconvenience for any of you, but I hope you will do what you can to accommodate the change of date.

q       The itinerary for the spring trip is set and available in a hand out.  I am happy to report that the costs are less than were expected and that there will be no need for parents to get out of bed in the middle of the night to drop off or pick up students.  Please see the trip information sheet for more details.  To reserve a spot on the bus (limited to two buses, or 110 seats) please send a deposit check of $50 payable to “Enloe Band Boosters” to Mr. Hunter ASAP.

q       We had a huge crowd on Magnet Open House night!  I gathered many student information forms and am hopeful to have another large, talented class of freshmen.  Thanks to the Enloe students who helped!

q       The conducting class and I will be traveling to Ligon each Thursday for the remainder of the year.  Mrs. Bishop has promised the Ligon Concert Band as our experimental band, where our young conductors will try out their techniques.  I will also hold brass workshops at Ligon Thursdays after school.

q       I am offering extra credit to students who attend community performances such as the ones listed in the following “upcoming events.”  If a student will attend a concert or recital and save the program I will give them 100 points as a test grade.

Notes:  Mr. Hunter cannot take bands to festival on 3/16 but has scheduled for Friday 3/18 instead.  He wants to know about conflicts ASAP.  It’s the Friday before spring break.

Spring trip – On Sunday, we will be going to King’s Dominion instead of rafting.  That time of the year it is too cold for rafting and it is a several hour drive from Radford.  Rafting companies offered canoeing right in Radford but they could not accommodate 100 people.  We have reserved a 3 star motel for $59.99 a night.  Important Note:  Chaperones will have to go through a background check if they have not already done so.

Treasurer’s Report:

We currently have $43 thousand Cash.

Fair Share Report:

Classroom Fair share statements have not yet been sent out.  MB fair share is all paid.  Nancy had concerns about spring fund raisers as far as timing.  There is not enough time to apply money before the May 1 deadline.  David pointed out that it can still be applied to fair share for next year.  Drew pointed out  that it won’t help seniors.  Drew said that the spring car wash will not offer presale tickets.  Nancy Brenner mentioned also that there are matching funds involved this time.  Beverly asked Drew if he thought there would be as good a turn out of kids helping because of AP exams . Drew thought probably just because it’s fun.  Jill said we are on the books at Sam’s for April 30.  Sam’s suggests that we have a small group of students play in the store or at the entrance.  Matching funds are based on what the money is to be used for.  Proposal must be presented to Sam’s so they can determine matching funds.  Chip took a poll of the group to see if we wanted to apply to fair share.  The general feeling was that is was more trouble than it’s worth.   We will identify an item from Mr. Hunter’s wish list to present to Sam’s.  Mr. Hunter would like it left to him and he will pick an item around $2000.00   He will work with Jill to get this information to Sam’s.

Ways and means:

Candy sale has started.  We are using the same company as last year with the same amount of candy.  There are only 30 boxes left after the first group took theirs.  We can get more if needed.  The money is due Feb. 25.

Jill and Nancy talked about rummage sale and they felt that it might be too much to take on this year with other things going on, i.e., car wash, off site band camp planning etc.  Debbie agrees with this and we will discuss this in the future for next year.

Old Business:

Spending Plan

Priority One - Sousaphone, marching baritone for MB

Priority Two - Sousaphone, marching baritone for MB

Cross mellophones off list – ours are being repaired – we now have 9 that work.

$3695 for 1 sousaphone; $1065 for baritone  for total $4750.   Will get a King to match the current inventory.  Funds are available per treasurer.  We need priority 1 items this year and priority 2 hopefully next year as we are expecting a large number of brass players next year from Ligon.  Mike made a motion to approve items for priority one purchase, seconded by Drew.  Motion was approved to purchase priority one items at this time.  3 sets of marching symbols have arrived.  Uniforms have not been ordered- needs to be done ASAP.  Mr. Hunter is waiting on Elaine.  Jill said Elaine and Todd will do inventory on work day - Feb 26.

Back to items for Sam’s, Penny suggested transportation to off site camp.  Chip mentioned that entire band would be doing car wash and band camp transportation is only for marching band.  Mr. Hunter will set up a jazz trio to play at Sam’s.

Off-Site Band Camp

Barb Avery checkout out camp at Western Carolina.  The cost is $191 per person for room and board.  There are additional charges for extra rooms such as band room, conference room, but no extra charges to use the field.  They have availability Aug. 7 to 12. The rooms are not air conditioned.   Approximate cost would be $250 per person.

Penny talked to Lees-McRae College in Boone.  Their facilities are not available after July 17.  Their charges are $41/day/person.  This is where Leesville Road HS goes.  She has a list of others colleges that she is still checking on.

Mr. Hunter wants to limit search to the week of Aug. 8-12 or possibly week before that.  Parents will be responsible for transportation   Ruth wanted to know about chaperones.  Mr. Hunter said 1 per every 10 students. Suggestion was made that chaperones could sign up for ½ the week and other chaperones for the second half.  Leesville band camp last year was $250.  Beverly suggested that schools in VA would be closer and start later.

Penny, Barb, Kaye and Terry are on this committee.  Nancy McLean asked if we would also have on-site band camp.  Mr. Hunter said yes, we would have day camp and evening camp the weeks before school.   Mr. Hunter is trying to find out when teachers are due back to school.  David asked if we could go to Lees McRae the same time as Leesville Rd.  Mr. Hunter does not want to go to camp that early.

President’s Report:

Email groups – some MB emails have dropped out.  EBB – 154; EMB 105.  Sara has accepted to be the nominating committee chairperson.  She will present proposal at the April meeting and we will vote in May.  This will give people a chance to sign up for positions.  Jill is working on the volunteer list.  The sign ups are encouraging – a lot of people are signing up.

Work Day:

Feb. 26 is our scheduled work day.  All paperwork has been submitted and hopefully will be approved for shelves to be installed.

David asked if fair share can be used for the spring trip.  Debbie said yes if all of their classroom fair share has been paid.   Chip reminded everyone to use fair share coupons so that information is recorded correctly.  Susan suggested including a fair share coupon into the minutes (See Below)

Marching Band Survey – Barbara Risman is working on this but we don’t know yet when it will go out.

Scott made a large copy of check received from Wake County for tractor, as well as a poster/check list listing our spending priorities to post in classroom for kids to see where  the money is going.

Debbie mentioned that the May 2 spring concert is during AP exams.  Mr. Hunter said that there are too many conflicts towards the end of the year.

No new business.

Motion to adjourn by Debbie and seconded by Sara.  Meeting adjourned at 8:30 pm.

Next meeting is March 10. at 7:00 in the band room.
