Enloe Band Booster Minutes – February 12, 2009

Meeting called to order at 7:00 p.m. by President, David Still
- Minutes of the November 13, 2008 meeting – A motion to approve the minutes of the previous meeting was made by Jim Connor, seconded by Greg Turner, unanimously approved.
II. Band Director’s Report
Mr. Hunter informed all that the winter concert recordings have been distributed to most students. If a copy was ordered and you have not received it, please check with your student. Next year, there is a good possibility that a concert recording will be done only once per year in the spring due to lack of interest.
Classes are in the process of preparing for festival in March. The music chosen is very appropriate, not too difficult and sounds very good already. Jazz group is also preparing for the UNC Jazz Festival. After school rehearsals are scheduled for both Wind Ensemble and Symphonic Band.
The Wind Ensemble spring trip has been cancelled. It was a bit disappointing, but future plans are to offer the trip to anyone interested, gathering commitments for a performance and sightseeing trip as well. After informing Composer, Bruce Yurko, he has offered to come to North Carolina to work with students. Although this would be educationally sound and a great alternative opportunity to play with the composer, it does not provide the bonding/camaraderie that an out of town trip would have. Mr. Hunter will pursue further and try to schedule a two day slot; one for rehearsal and one for the performance.
We were successful in submitting a grant request to the Enloe PTA which resulted in an award in the amount of $2,000! These funds will be used for the purchase of two brass instruments: a marching mellophone and baritone!
The Middle School Tour and the Enloe Magnet Open House went very well. These programs provided upcoming audition and marching band camp dates to prospective students well in advance. Mr. Hunter was very pleased with the support of students and band boosters for their assistance that evening in promoting the band program at Enloe! The students were a big help in talking with prospective students providing upbeat and informative information while the boosters had a table set up to provide information to prospective parents as well. There was a good crowd and a good evening overall.
Mary Grant expressed concern regarding conflicts marching band students face with the summer school Freshman Seminar. It was suggested that these students be given priority to attend the first session of summer school which would not interfere with away band camp dates each year. Mr. Hunter requested that Mary outline the problem so that he can assist in addressing the situation with the Enloe Guidance Department and Administration. It was also noted that Flight School is offered the week after band camp this year in the morning and will not interfere with home camp.
With the marching band leadership group in place for next year, Mr. Hunter would like to get a retreat-style training scheduled. A leadership retreat would provide important planning, training, and expectations of this group so that they are prepared in advance of camp and the start of the season. Since a program of this type is not available and would not be “Enloe specific”, it would be handled in-house. This could be scheduled as a local overnight or on-site at Enloe. Mr. Hunter will continue to investigate possibilities of scheduling soon.
III. Treasurer’s Report – Jay Johnson is out of town and indicated the report will be forwarded via Yahoo Groups as soon as possible.
IV. Fair Share – Wendy Daly. There are five remaining marching band members who have not paid and two guard members.
V. Operations Report – Beverly Hockenberger reports that the open house went well. There are no events scheduled between now and our next scheduled meeting in March.
VI. Ways and Means – Jim Connor
Upcoming opportunity beginning this spring to earn fair share for next year by working concessions at the Durham Bulls. Please let Lynn Condreay know as soon as possible if your family would like to participate this year.
The calendar promotion that was offered over the holidays is still running and available at any time for anyone interested.
Breakfast Bonanza sales are down this year. The possibility of moving sales to Tuesday mornings for late start days will not work as students are quickly moved inside the building as they arrive. For security reasons, volunteers will be counting the proceeds from sales in a secure location. Please remember to support our Breakfast Bonanza as you are coming through on Friday mornings. Boxes of donuts are ready for you to easily pick up and take to work with you!
Denise Scholl has obtained a gift certificate donation for the Marriott in Hilton Head, South Carolina. The previous success of running an on-line silent auction is a possibility that was discussed. Please share any suggestions or ideas with Jim Connor.
The electronic recycling program is in need of someone to assist Mary Still in getting this fundraiser for the general fund started. Please contact Jim Connor or Mary Still directly if you would be willing to help. Thanks!
VII. Old Business: None
- New Business:
Band Camp: Rhonda Connor presented requests for three expenditures as follows:
- Band camp housing deposit – Frostburg State University: $2,000.00 deposit.
A motion was made to approve by Greg Turner, seconded by Mary Ann Williams, unanimously approved. Price, according to the number of students, is roughly identical to last year other than cost per meal increase.
- Contract for band camp transportation - Holiday Tours: $800.00 deposit.
Will contract for the same price as last year with the possibility of reduction in the cost of diesel. Holiday has agreed to adjust to lower cost of diesel, but will not charge higher than the $8,000 quote. Motion made to approve by: David Hockenberger seconded by Mary Ann Williams, unanimously approved.
- Lanyards – Motion made to purchase by Greg Turner, seconded by Drew Morrison-Rowe, unanimously approved. Will initiate order of 250 lanyards @ $359.28. This should be a two year supply.
A meeting with previous band camp volunteers was held last week. Ideas and suggestions for this year were shared. Chaperones would like to meet with leadership prior to camp so that responsibilities of each group are understood. The distribution of the band form packets were rushed out last year waiting for guard to be chosen. It would be helpful if the packets could be distributed earlier to the band and then to guard members when they are chosen.
Nominating Committee: A committee will be formed to assist with the recommendations for band booster officers for the upcoming year. A small group is needed to gather suggestions, contacts and potential recommendations for officer positions within membership. It would be advantageous if a few freshman parents were mentored into positions. The band boosters will be accepting nominations for all officer positions. Ideally, we would like to have two candidates for each position. Please contact David Still as soon as possible if you would like to serve on the Nominating Committee.
Landscape Trailer: Drew Morrison-Rowe expressed his willingness to head a committee to investigate the purchase of an open, landscape-type, trailer. This would be towed to Frostburg, used on-site, and then used as needed at competitions. He estimates the cost to run approximately $1,700 for a used trailer.
Non-profit status: Greg Turner would like to establish a non-profit within the State of Maryland in order to save on tax payments incurred each year for band camp. He will continue to look into this possibility.
