Enloe Band Booster Minutes-January 2007

Meeting called to order at 7:04 by Beth Narron.

 

I.                     Minutes of the October 12, 2006 General Meeting; no additions or corrections received. David moves to accept the minutes as issued, Karin seconds the motion, group votes unanimously, minutes accepted as issued.

II.                   Band Director’s report-Mr. Hunter

q       Concert Band Classes

o       All District auditions went very well.  We had a very high percentage of auditionees make the band.

*Of the 18 who made it, 10 scored high enough to qualify for the NC All State Honor Band auditions.

o       The wheels are turning for the largest collaboration in Enloe music department history.  Tickets will go on sale soon for the premiere of Joel Martin’s Requiem for Peace based on Maya Angelou’s poem I Know Why the Caged Bird Sings.  Rehearsals resume the day after mid-term exams.  Joel will rehearse through lunch each day.  Anyone wishing to bring lunch to our hungry composer around 1PM any weekday until Feb. 11 please contact Mr. Hunter.

q       Jazz classes

o       Things are going very well in the improv class.  One of the younger combos just had a big breakthrough performance for the class.  They will now prepare to play for music club.

o       The jazz trio is playing regularly around town.  Jeff & Cory are applying for the New School of Music in New York.

q       Marching Band

o       Winterguard rehearsals are underway.  Robert McAden meets the girls at Hunter Elementary twice per week to rehearse in their gym.  Thanks to their principal Mr. David Schwenker.

o       Several upperclassmen are in communication with me regarding show ideas.  We have already considered several and are working on specifics for one in particular.

o       You may have heard that Enloe may be able to offer credit for members of the Marching Band.  Well, Mr. Livengood is working on just that.  Students who would like credit (not all will) just may be able to get it by signing up for band ninth period.  Ninth period is the new period that will begin at what used to be “after school.”  It is my intention to begin MB rehearsal at the usual time, and students wishing to participate should either sign up for our ninth/ period offering or not sign up for a ninth period class at all.

Secretary’s notes on Director’s report:

Joel Martin will be here for three weeks rehearsal.

Penny explained that Winter Guard is Color Guard in a gym; an opportunity for the current guard to practice and improve, and for other interested students to participate.  This year’s show will be a James Bond Theme.  Mr. McAden is helping but not getting paid.

 

III.         Treasurer Report:  Nancy Appleby reported the following:

TREASURER’S REPORT

Enloe Band Boosters

January 11, 2007

 

AUDIT OF FISCAL YEAR 2004 (July 1, 2004-June 30, 2005) RECORDS:

John Montgomery is in the process of performing an audit of our 2004 Fiscal Year Books.  John will be doing our Tax Return. I will also ask him to audit 2005 after the books are closed out. The Tax Return is due by February 15, 2006 after an extension was requested. Once that is accomplished I will ask John to audit our 2005 Fiscal Year.

BUDGET STATUS:

At our next Band Booster Meeting some budget considerations for the current fiscal year (July 1, 2006-June 30, 2007) will be put forward for discussion.

TREASURER POSITION FOR NEXT YEAR:

An overview of the Treasurer position’s duties and responsibilities will be prepared and sent out asking for individuals interested in taking over the position for next year. It is important to get a volunteer on board before the end of the school year so that the current Treasurer can coordinate a smooth transition.

NC SALES TAX REFUND REQUEST FOR 3 YEARS:

            Have completed review of fiscal year 2004 and computed $1,204.04 in refunds. A request will go out for a volunteer to do FY 2003, 2005, & 2006 the Treasurer is finding it difficult to complete this project because of workload.

RITA GOODMAN SCHOLARSHIP FUND ACCOUNT:

            As of January 10, 2007, we have $5,545.13 in one of their Mutual Fund Accounts (Ultra Short-term Income-Inv.). A donation of $100 was received from Rita Goodman’s parents will be deposited into the fund. The Secretary will be asked to write a thank you note for their continued support of this scholarship fund.

**Please note that we have approximately $2,700 in equipment/music/awards in outstanding bills and the Classroom Fair Share is in the process of being collected.

 

DONATIONS:

Sam’s Club Matching:

We received a $500 matching donation from Sam’s Club as a result of the Car Wash done this past fall. Drew Morrison-Rowe accepted the donation on behalf of the Boosters at the December Staff Meeting of the South Saunder’s Street Sam’s Club. Thanks to Drew for his continuing coordination of this fundraiser.

 

Tax Letters for Donations:

Tax Letters for donations made for competition/game meals and East Guilford H.S. will be prepared and mailed by Jan 31, 2007.

 

FUNDRAISER STATUS:

Lynn Condreay has been provided all the detail regarding the fundraisers that have gone on and will report on the specifics.

 

CD Sales from the concert are in process and the numbers will be available next meeting.

 

Secretary’s notes on Treasurer’s report:

Beth’s Mom has volunteered to assist Nancy with Sales Tax paperwork.

$350 has been collected so far for E. Guilford County High School to help recover from their fire.

There are still CDs remaining from the last concert.

 

IV.        Operations:  Penny Werner covered the following:

Nominating Committee—Sara explained what the nominating committee has done for the last two years.  The nominating committee is charged with presenting a slate of officers at the April meeting for a vote at the May meeting.  Ideally a nominating committee chairperson would be in place in February to form a committee that would have time to put together a slate of officers for the April meeting.  An email will go out soliciting a volunteer for nominating committee chair.

Storage room needs cleaning and straightening, perhaps some volunteers could tackle this chore on a teacher work day?

Band Camp transportation, unfortunately we will not be able to raise the needed monies with doughnut sales like last year, how will the group pay for transportation?  Do the Boosters have the income in the general fund to pay for transportation?

 

V.         Ways and Means:  Lynn Condreay reports:

It has been a phenomenally active year-excluding grocery cards, polo shirts and Veteran’s Day fundraiser, there has been over $14,000 raised this year.  We have been very successful finding ways for people to pay their fair share, providing opportunities. We have done a lot with existing fund raisers and brought in new ones such as the Christmas Parade booths and the Durham Bulls concessions.  Lynn recommends we consider discontinuing pie sales.  She would like to see a car wash after spring auditions which should be May 7 and 9, three weeks before exams.  Car wash at this time may be a good way to introduce middle schoolers to the band and a great way for them to meet people.  Is there any fundraiser which could be dedicated to the needed band camp transportation funds? 

Other fund raising ideas discussed included:

-an agreement with a local restaurant chain for a small percentage of the proceeds of designated nights

-Silent Auction perhaps in conjunction with the early season (end of band camp) Marching Band dinner.

Beth noted that we should make sure that the general funds don’t get depleted.

Karin notes that some funds from fair share go to general fund.  Lynn notes that we have provided a lot of opportunities for people to raise all or a portion of their fair share, more and more families are participating.  Using the grocery card system couldn’t be easier.  Lynn notes that for the Durham Bulls games fair share fundraiser we need to sign up for dates by February 1, but we need a minimum number of volunteers to reserve dates. 

 

VI.        Fair Share:  Karin Hess reports:

All Marching Band Fair Share has now been collected! Kudos to Karin for all the hard work and organization to get this done.  Karin reports that 40% of classroom fair share has been collected to date.  All band families are reminded that any classroom fair share balances are due by the end of April.  

Families are encouraged to take full advantage of the grocery card program to raise funds. Contact Kaye Poole at eatsquid@juno.com with questions about this program.

 

Karin also wants to point out that after two years she will be stepping down from her position as Fair Share VP on the Band Boosters Board to take on the position of Marching Band Secretary.  She is looking for another band parent to volunteer to handle Fair Share for the Band Boosters for the 20006-07 season.  This person would need to be in place by the end of March-beginning of April.  Karin wants to adequately train the new VP Fair Share in order to have a seamless transition.  As marching Band Secretary, she will work closely with this person from April through August to get the marching band students set for band camp in August.  Anyone who is interested in learning more about the position should contact Karin at karinhess@gmail.com.

 

VII.       Old Business

Nancy mentions that the Band Boosters received a generous donation of $50 donation from an Athletic Booster parent: Paul J. Keadle.  

 

VIII.       New Business

Beth asked if Mr. Hunter wanted volunteers to man a booth for this year’s Open House January 30th.  Mr. Hunter says that we should do whatever was done last year, it worked well.

Drew mentions that the Gator needs service; Revels Tractor has been doing this maintenance.

Susan reports that all pieces of all the marching band uniforms have been cleaned for a total cost of $1053.  The pants only from every uniform were cleaned once during the season for a cost of approximately $300.  Beacon Cleaners does a great job with the uniforms and has had a long term relationship with the Band Boosters.

Penny moves that the Band Boosters advance the $500 deposit needed to reserve Meymandi for the February 11 performance. Lynn seconds the motion. Mr. Hunter clarifies that these monies will be reimbursed to the organization from the proceeds of ticket sales for the event.  The intent is that neither the Boosters nor the Arts Guild will have to cover any of the expenses of the performance.  Motion passes unanimously.

Sara moves that the Boosters pay for a $50 business card size ad in the program for the February 11 performance, the verbiage being something general to congratulate Enloe student performance on the concert.  Lynn seconds the motion, there is no discussion.  The motion passes unanimously.

Beth encourages everyone to bring at least one other parent to the February meeting to encourage more involvement in the meetings.  A brief discussion ensued about other meeting formats and frequencies including once a semester meetings or quarterly general meetings.  Drew expresses his concern that things can be forgotten if the group meets too infrequently.

 

Judy moves to adjourn at 8:40, Ron seconds the motion, it carries unanimously.
