January Band Booster Minutes

Meeting called to order at 7:05.
Secretary’s Report:
Minutes – correction to December’s minutes - Wording implies president approves selection of officers. The correction is the president approves selection of committee chairs.
Motion made to approve the minutes as corrected by Drew and Kaye seconded.
Jill says we’ve received a letter of thanks from the school system for our donation of the shed and gator. The check will be available on 1/18 after 2 pm.
Director’s Report:
q Our holiday concert was very successful! I was very proud of the bands. The Symphonic Band, in particular, impressed audience members because expectations aren’t typically high for the “second band.” I’m absolutely as proud of that band as the Wind Ensemble. Lots of schools in the area have good top bands but NONE have a second band like ours. They work very hard in rehearsal and deserve the accolades they received after the concert.
q Richalle Smith and Douglas Poole, from my music technology class, arranged “God Rest Ye Merry Gentlemen” for the media center quintet. John Welch (head media specialist) rewrote lyrics to the tune for the faculty end-of-semester party. His words with our music were the hit of the party. Congratulations to Richalle and Doug for their fine work.
q We had 15 students make All District. That’s way down but still very respectable. Looks like that number will go right back up next year as our feeder schools continue their improvement. They were very successful at auditions this year.
q I am offering extra credit to students who attend community performances such as the ones listed in the following “upcoming events.” If a student will attend a concert or recital and save the program I will give them 100 points as a test grade. Currently many students need the boost to their averages.

Treasurer’s Report:
Mike had a comment that we were a couple hundred short for the MB video. It was pointed out that some of the money came out of fair share at the beginning of the season. Jill said it should be even – that we were charged exactly what we took in. That might also be the case for the DCI trip because we came up short on that. Action Item– ask Nancy Molin to provide Mike with info of fair share withdraw on the video and DCI trip.
Also a comment was made about the banquet - that we ran out of food possibly because there were more people that ate than paid. Doug and Ellen Reeves will do spring banquet.
New instruments that were approved have been purchased. Symbols cost $579. Uniforms – Elaine will get back to Hunter before 2/1 which is the deadline to order to guarantee delivery by June. Shelving – Mr. Hunter would prefer L brackets with boards on top. Cheaper than what has already been installed, and easier to install and looks just as nice. Chip commented that more care needs to be given in anchoring them to the wall because of the weight that will be put on them. Jill said that we have to have facilities modification form filled out. She printed out the form for Drew. It needs to be turned in to Elizabeth Sharp. Jill said that a lot of funds are given to bring your facilities up to par with other schools. Jill recommends we don’t try to get matching funds. Drew’s focus for next Saturday is to draw out plans to know what to purchase and fill out forms. Install date is 2/26 and Jill said Ms. Vogle told us we can have access to the building the whole day. Meeting this Saturday is at 8:00. The form needs to have drawings, measurements, prices.
Classroom Fair share statements will be mailed out the first week of February.
Ways and Means:
Kaye is not going to do scrip anymore. She is having problems with company – they are not very organized. She has extra cards and would like to sell them. We can see if anyone else would like to take it over. Action item for Debbie Hostetter is to decide if we want to continue scrip.
Old Business:
There is no discussion this month on the spending proposal. It will be brought up at Feb. meeting.
Chip says he has had no response to request for someone to chair the nominating committee. Chip will make phone calls to solicit help.
New Business:
New fund raiser ideas – Jill went to web site for ideas. “Best Seat in the House” -we would solicit businesses to buy or donate a sofa. We would sell tickets to raffle off a seat on the sofa for the winner and a few friends. We put the sofa on the 50 yard line and serve coke and popcorn or pizza. Another idea is a bakeless bake sale. Send a letter to participants inviting them to NOT bake – instead send $10 to not bake, shop, deliver, etc. Another idea - collect old cell phones, empty ink cartridges. Kids can solicit and we can have drop bins around school. These are ways to make some money with no investment. Jill would like to solicit help and Chip commented that as many volunteers as we have, we always need more. Some schools require parents to volunteer. Mr. Hunter says it is more difficult since we are not a community school.
Rummage sale – Jill checked into a mobile storage unit. It is $80 for a month and $80 for pick up and $80 for delivery. They will cut that in half so total would be $160. Storage can be on football field down by the concessions. Ms. Vogle said that should work even though construction will be taking place. Beverly Hockenberger can help and Barbara Risman can help advertise in the neighborhood.
Spring/Sam’s car wash – Drew says it is difficult trying to pick a Saturday in spring that doesn’t interfere with exams, etc. AP exams are first week in May. April 23 is honor band, 30th is rain date for rummage sale. We must submit letter to Sam’s club and they will match funds. If we choose the 30th and it rains we can give kids a choice of rummage sale or car wash. Nancy Brenner pointed out that rummage sale does not go towards fair share and car wash does. Drew suggests that we don’t do presale tickets for spring car wash. $1300 was taken in from the summer car wash. Drew will request date of 4/30. Chip had idea of kids splitting fair share proceeds from car wash if they work at rummage sale if it takes place on the 30th.
Kaye commented that Rebecca and Lynn did awards for Marching Band but Lynn will not be helping for spring awards. Rebecca is soliciting someone to help her for spring.
