Meeting called to order at 7:05p.m. by Beth Narron

 

I.                     Minutes of the May11, 2006 General Meeting; no additions or corrections received. Penny moves to accept the minutes as issued, Beverly Fisk seconds the motion, group votes unanimously, minutes accepted as issued.

II.                   Band Director’s report-Mr. Hunter

Mr. Hunter welcomed the group. He said they were all looking forward to band camp, and mentioned that after last year we know what to look forward to! He said he will be available after the meeting for questions.

TREASURER’S REPORT

Enloe Band Boosters

July 13, 2006

 

AUDIT OF FISCAL YEAR 2004 (July 1, 2004-June 30, 2005) RECORDS:

            John Montgomery is in the process of performing an audit of our 2004 Fiscal Year Books.  John has indicated he would consider doing our Tax Return. I will also ask him to audit 2005 after the books are closed out and the Tax Return filed in September.

 

NC SALES TAX REFUND REQUEST FOR 3 YEARS:

            Have completed review of fiscal year 2004 and computed $1,204.04 in refunds. Review of FY 2003 and 2002 will not be completed until after school is out due to the Treasurer’s new job. Still working on refund.

 

RITA GOODMAN SCHOLARSHIP FUND ACCOUNT:

            As of March 16, 2006, we have $5,322.54 in one of their Mutual Fund Accounts (Ultra Short-term Income-Inv.). During 2005 the fund made $204.86 in dividends, which were reinvested.  A balance will be provided at our next Band Boosters meeting in August. A $250 scholarship was given this past year to Annie Hostetter.

INSURANCE:

            Insurance was purchased from Association Insurance Management (AIM) for General Liability and Board Professional Liability at a cost of $410 for the year. A copy of the Certificate was furnished so that the Band Boosters could participate in the Durham Bulls Fundraiser. More detail can be furnished at the next Band Boosters Meeting.

Nancy Brenner was unable to attend the meeting but filed the above report. 

 

IV.        Fair Share Report

Karin Hess was unable to attend.  Beth mentioned that everybody in the Marching Band has taken care of the required deposit.  The next portion is due July 26.  Karin will be back in town on July 17 and encourages anyone with questions to contact her.

 

V.        Volunteer Coordinator

Susan Feuerstein was unable to attend; Beth read the following message from Susan:

We have an URGENT need for a water coordinator for the after school rehearsals. Several people have volunteered to help; however I need someone (or 2) to schedule these volunteers.
******This person does NOT need to be at every rehearsal.******
This should be someone who is already familiar with the process involved in being a "water person". New volunteers are going to need to know how this process works. I see this as being a great joint opportunity between an already experienced "water person" and a new volunteer. The main thing you would need to do is put names on a calendar and then give them a follow-up reminder to make sure they'll be there! If they are new volunteers, explain the system to them.
My schedule does not permit me to be at the after school rehearsals. If someone is willing to take on this important task, please call me at 552-0648 or email me at SusanF1219@aol.com.
I look forward to getting to know all of you wonderful volunteers this year!

 

VI.        Parents mentoring coordinator Deborah McMillan

Deborah has a special request that returning or veteran band parents buddy or mentor a new family.  She currently only has 8 names of parent volunteers, but 24 new band parents have requested mentoring. Do you remember how it was when you were a new band parent and had lots of questions?  Be there for new parent! Help them assimilate and become a volunteer and enjoy their band experience. Email her or add your name to the list circulating to volunteer to be a mentor!  Contact info: ldkmcmillan@msn.com 266-0276.

 

VII.       Camp Performance Meal:  Lorraine Johnson is coordinating the camp performance meal Friday August 18, all families are invited!  Dinner will be at 6:00p.m. the performance by the band at 6:45p.m.. The regular monthly band booster meeting will be after dinner but before their performance. Meals will need to be pre-ordered by Aug 12.  Order information will be emailed and mailed.  Lorraine plans to arrange options of sandwiches or salads.  Checks will need to be made to Enloe Band Boosters. Will also have canned drinks available.  Sara notes this is a great kick off to the season, it is a lot of fun and everyone is encouraged to attend.

 

VIII.      2006 Off-site band camp—Kaye Poole, Penny Werner

Need to sign up with the county through the school is you plan on doing any chaperone at all this year.

Ready to go, working on roommate assignments for a few. Can see Kaye tonight if you have not already expressed your roommate preferences.  The kids are not in their room that much, up early and in bed late so roommate choices are really not that important.

Everyone needs to make sure they are getting the group emails by signing up at the Yahoo site.

Beth notes all emails sent to the group are posted on website.

August 1 is a mandatory chaperone meeting in the band room, thanks to all those who have volunteered!  Chaperone cell phone lists will go out, but keep in mind that not all will have consistent phone service at Western Carolina.

Each family is asked to donate 12-24 packs of snacks and drinks for band camp.  Please bring snacks/drinks to the Enloe band room on Tuesday, August 1 between 6 and 8 pm. Snacks suggested: chips, trail mix, nabs, cookies, crackers, jerky, boxed drinks, Gatorade. Refrain from soda or chocolate.  Please make it as healthy as possible.  A flyer will be mailed.

An ice cream night is planned.  Student leadership is helping with team building activities. There will be a skit night. Several requests were made for more free/rest time so this year’s schedule will try to accommodate.

Questions from the group:

Q. How many students in the group?

A: 93-95 total students with Staff and chaperones total of ~120.

Q: What to pack?

A: A packing list was sent—just suggestions. Do need comfortable, (not new!) shoes. Probably 2 pairs, kind of water resistant, good socks like smart wool for blister issues.

Kathy Ziminsky reminds everyone that every student needs to sign a copy of the rules!

A completed WCU Health form is required or you will not get on the bus! This is a WCU policy, it also must be notarized.  If you need a notary, get here early the morning of band camp and Beth can notarize.  Rookies will also get their picture taken the morning we leave for band camp.  Beth reminds everyone that notary laws have changed, she must see ID at time of signature.

Q: Other things to bring? Alarm clock? Fan?

A: Coordinate this with your room mate, don’t bring a box fan, but a ~6” clip on type fan.  Rooms are not air conditioned, it will not be hot but fans may help.

Q: Anything that happened last year that shouldn’t of.?

A. David answered that our kids are always where they are supposed to be and they don’t screw up! 

Q. What is the bathroom arrangement?

A. Bathrooms are down the hall, 2 bathrooms per hall, with plenty of showers.

All will get 3 good meals a day and lots of chaperone attention. Kids should know to get with Penny or Kaye if they need anything.

Student leadership will function within groups and within the band as a whole.

Q: Is the chaperone going to wake up kids?

A: Yes, but not with enough time for them to get ready. Don’t count it! Bring an alarm clock if you want to get a shower etc.

Q. What about prescription medication?

A. Bring medications in departure day and bring to medical table.  Kids will keep inhalers with them.  Last year Beverly kept many medications and dispensed them. OTC meds can keep themselves. Beverly will also have OTCs.

Another flyer will be mailed out soon for band camp and will include ordering information for the meal August 18—orders need to be sent in asap by August 12.

 

IX.        Other Business

Penny says we need to purchase 4 new radios for band camp for all chaperones.  Want rechargeable to add to the 4 we already have.  Drew moves to approve the expenditure of no more than $200 to purchase 4 new radios. Kaye seconds the motion.  The group votes unanimously the motion is approved.

 

Sara read the following recognition of past Band Booster President Doug Reeves:

“Doug,

None of us will really know how much time and energy you put into this position. But, thank you.

You have been an exemplary manager for our group. You have always been available and quickly responded to your many emails and phone calls, and gave each one your thoughtful consideration. No issue was trivial.  Everyone’s concerns were carefully considered.

I especially appreciated your calm articulate demeanor; you certainly represented our group in the most professional way; every time, in every situation.  You set a great example for the group too, always digging in, volunteering in many different capacities throughout the year and having fun doing it.  It has truly been a pleasure to work with you.

A special thank you to Ellen and Rosemary, who I suspect do know how much time you put into this!

So on behalf of the Enloe Band Boosters, I’d like to present you with this plaque as a token of our appreciation.”

 

X.        Announcement of next meeting and adjournment:  The next meeting is scheduled for August 18, immediately following performance meal in cafeteria at Enloe.  Ron Stockton moves to adjourn the meeting, Deborah seconds the motion.
