Enloe Band Booster Minutes – July 2007

Meeting date: July 30, 2007
Location: Wake County North Regional Library

Attendees: Penny Werner, Karin Hess, Maureen VanderHorst, Doug Evans,
Carter Evans, Julie Oliver, Ted Oliver, Brian Parks, Rhonda Connor,
Jim Connor, Nik George, Liz Scott, Rachel Rowe, Drew Morrison-Rowe,
John M. Gardner, Laurie Smith, Robert C. Hunter, Susan Siphers, Nancy
Appleby, Jeanne Marlowe, Patricia Fleggas, Doug Johnson, Ron & Liz
Scott, Beverly and David Hockenberger.

The meeting was called to order at 7:07 pm by President Ron Scott.

Ron Scott explained that this meeting was called to discuss
instrument and equipment needs for the marching band and vote on
whether or not to purchase the items highlighted on the handout
distributed at the meeting. Ron invited Mr. Hunter to discuss the
handout presented.

Mr. Hunter explained that he keeps a running "wish list" and
continually updates the list with priorities. He stated that he
asked the drum instructor and pit instructor what they needed. The
instructors went through the list and prioritized needs. Mr. Hunter
explained that his job was to let the Band Boosters know what is
needed for the bands. Mr. Hunter stated that he is convinced that
all items on the handout marked with a "1", indicating top priority
level, do need to be replaced. He requested that, if possible, it
would be helpful to know what amount is available to spend.

Mr. Hunter opened the floor to questions and discussion.

A question was raised that if we were to replace all the drums that
are being requested, do we have that number of musicians to play
these instruments? Mr. Hunter answered that yes, these instruments
would be used as soon as they arrive.

Another question asked was can any of these instruments on the wish
list be used in the classroom? Mr. Hunter stated that the marimba,
concert base drum, and auxillery percussion will be used in the
classroom. Also, the vibraphone listed as a need for the 2008/2009
year will be used in the classroom.

Mr. Hunter stated that he checked the list presented tonight very
carefully and compared it against his wish list. He stated that he
has no problem with spending the amount listed.

Ron remarked that the total amount stated as needed should be less
since some of the old equipment will be sold. For example, someone
has offered to buy our old marimba for about $500.

Another question was asked about how much of the 2007 wish list must
the band have to get through the away band camp? Mr. Hunter answered
none. It was brought up that it would be great to have at least the
harnesses before band camp.

Mr. Hunter stated that the prices appear to be the best available.
Someone asked if it is better to buy as a total package or in part.
Mr. Hunter stated that it was better financially to buy the total
package.

Ron interjected that if we purchase by tomorrow, the instruments can
be delivered by Friday, August 3. The question was again raised how
much money is allocated that can be spent and are there any other
expenses that may be needed over the next year? Mr. Hunter said no
emergencies were anticipated.

A question was asked about why there were two sets of tenor drums and
only one harness? The answer was that one marcher has already
purchased his own set and plans to donate the harness when he
graduates. It was indicated that this harness will match the new one
to be ordered.

Mr. Hunter remarked that last year they rented a marimba, and the
band could continue to do that, but the quality of the marimba rented
is not as good as the one to be purchased. Ron Scott pointed out that
some replacement parts for current pieces of equipment cannot be
found now.

Nancy Appleby, the outgoing treasurer, reported what funds were
available in the 2006-2007 year end closeout. The total amount on
hand is about $62000, less $18000 for the 2007-08 away band camp and
$8000 for transportation costs. This leaves $36,000. If we spend the
$14000 for equipment, we will have about $22000. Nancy indicated
that the $22000 includes $2500 amortization set aside each year for
uniform purchases.

It was noted that Mr. Hunter spent money for instruments in the past
that was received from Wake County and is designated for uniforms,
but can be spent on other items. It was noted that it is uncertain
when Wake County will make the next payment for uniforms. Mr. Hunter
stated that he has no intention of ever replacing all uniforms at one
time.

Julie Oliver, one of the members, remarked that we (Band Boosters)
are transients, and that Mr. Hunter will be leading the program when
we are all gone. She thought that we should go with Mr. Hunter's
request.

Nancy Appleby cautioned that there is a cash flow issue. She
recommended that if we make this purchase we will need to get rid of
the CD. Nancy recommended that we go with a partial purchase. It
was noted we will get some money from the sell of old instruments so
the total output may actually be lower than the amount indicated on
the handout. Drew Morrison-Rowe brought up that the tightening of
grocery card funds will help ease the cash flow problems.

A member asked for the new treasurer, Patricia Fleggas, to comment
before a vote was held. Patricia stated that she is concerned about
cash flow down the road and would like to have seen a partial
purchase. She questioned why the drum instructor didn't report the
need at the end of 2006-2007 band year and why these equipment needs
were not brought up at the budget meeting.

Ron reported that he had received about 60 e-mails in response to the
notice about tonight's meeting and about some members asked if they
could donate money to help with equipment costs.

Julie Oliver made a motion to purchase the entire package as
submitted by Mr. Hunter. David Hockenberger seconded the motion. A
vote was called by President Ron Scott. There were 20 yeas, and 1
nay. The motion to purchase the entire package as recommended by Mr.
Hunter passed with a majority vote.

The meeting was adjourned at 8:20pm.
