March Band Booster Minutes

Meeting called to order at 7:10 pm.

 

Secretary’s Report:

 

Motion was made to approve the February Minutes by Jill and seconded by David.

 

Director’s Report:

 

Mr. Hunter is ill tonight – he left consent forms for festival for us to fill out and sign.  Issues to ask Mr. Hunter:  Nancy McLean has not seen consent forms for trip.  We do know that balance for trip is due Monday.  We don’t know where we stand on fair share – statements have not been sent out.  We agree to call Mr. Hunter later in the meeting with questions that arise tonight.

 

Director’s Notes:

 

q       I am sorry that I cannot attend tonight.  I’ve never missed, but my cold seems to be turning into something ugly.  I must be well for next week’s rehearsals and performances.  I stayed at school long enough to rehearse and prepare these notes.  As you meet I am home resting.  Chip has my number and I welcome a call with questions regarding my notes.

q       My thanks to Kaye, Penny & Barbara for not giving up on off-site band camp.  It looks as if they’ve found an excellent place for us.  We’ll have to put our heads together to iron out the kinks, such as transportation (5 hour drive).  Chartering buses would, if we choose, drive the price up significantly.

q       Concert Festival itineraries and consent forms are available on the table just inside the band room door.

q       We have 47 students and 5 chaperones going on the trip next week.  The total cost per student is $100, so each student is asked to bring the balance to me between Monday and Wednesday of next week.  I cannot tell you how disappointed I was to discover (the day before) that we could not complete our shelving day project. 

q       Our Jazz Ensemble attended the UNC Jazz Festival two weeks ago.  They did a fine job and were inspired by outstanding professional jazz musicians.

q       Six students auditioned for All State last Saturday.  Five made it!  All six represented our school well.  Congratulations to each of them for being selected to audition: Hannah Thurman, Rebecca Gottstein, Christopher Poole, Douglas Poole, Jenny Smoak, Ted Oliver.

q       I am offering extra credit to students who attend community performances such as the ones listed in the following “upcoming events.”  If a student will attend a concert or recital and save the program I will give them 100 points as a test grade.

Ways and Means:

 

Candy - All of the candy is gone.  Money is not all in yet.

 

Car Wash – Jill submitted our letter and we are requesting matching funds for a sousaphone for $4000.  They will only match up to $500.00.  Sam’s requests environmentally friendly detergent.  Penny suggests that maybe we sell Krispy Kreme donuts at the car wash.  Terry said we should request donation from them.  They will donate for fundraising groups.

 

Operations Report:

 

Shelving project update – forms were not sent to Wake Co. Facilities office until Monday after the project date.  Jill got a call on Friday afternoon on the day before from Enloe Administration that it would have to be cancelled.

 

Jill feels that the administration is frustrated with her.  She doesn’t understand the lack of response from anyone.  We will set up a date when approval is final.  Equipment for shelves has already been purchased.  We budgeted $1500 and purchase was close to $500.

 

Offsite band camp – Barb says they contacted around 15 colleges.  Western Carolina is available the week of 8/8.  We will go up on Sunday 8/7 and return the following Saturday afternoon.  Cost is $202 per person, double occupancy, including food.  Rooms are not air conditioned.  It is across from the practice field and we will also have use of the band room.  There is an additional charge for smaller rooms for sectionals.  They will require medical forms signed by physicians.  Transportation is an issue.  Buses will add significant cost.  Another option is to go the week before and go to Louisburg.  Mr. Hunter does not want to go there because of the heat. 

 

David mentioned that if band camp is mandatory, we’d have to provide transportation.  Chip says that he has had feedback from kids that offsite camp is something they want to do.  Debbie said Annie and her friends are not crazy about it.

 

Chip wanted to know if the organization can support this and make it happen.  Jill and Bev said yes, they are all for giving it a try.  Mike says maybe boosters should provide transportation.  David says that kids will not have any fair share built up and boosters will have to float transportation until fair share is in.  Terry mentioned that our $1000 camp food expenses can be used towards camp expenses.  Barb also mentioned costs for chaperones may add extra costs.  Mike expresses concern that the $200 might scare kids from joining band.  Chip expressed that policies need to be clarified considering scholarships and discourages deciding on a case by case basis.

 

Penny mentioned that guard will not be going to camp because Angela can’t get off of work. 

 

Chaperones – we’ll need 1 per 10 students.

 

Jill feels like busses will be safer due to distance. 

 

Terry made a motion to approve band camp at Western and have band booster organization pay for transportation.   Mike seconded.  Sara suggested that we just approve camp and work out logistics later. 

 

Motion was amended to say that we set aside funds for off site camp to be decided on later. 

 

Chip asked if there were any volunteers to head a committee to look at fair share policies for next year – David volunteered to do this. 

 

Treasurer’s report:

 

Year to date income vs. expense is $360.40.  Total unallocated assets are approx. $34,000.00

 

Nominating committee:

 

Sara made a mistake on the email she sent out.  Correction is that the vote will take place at the May Band Booster Meeting, not the May banquet.  Terry suggested that we announce the slate at the banquet so people can come to the May Band Booster meeting to vote or add to the slate.

 

Old Business:

 

Survey- Barbara is working on this and it will be wrapped up soon.  There was miscommunication that it was wanted right after marching band ended.  There will be 2 surveys –one for kids and one for parents.

 

New business:

 

Ruth mentioned that the leadership training is the same time as the orchestra trip.  Also, she wanted to know if it’s been discussed about requiring freshman to be in marching band.  Chip said we can make our feelings known but that it’s Hunter’s decision.  Hunter is not “requiring”, but “strongly” suggesting.  Jill wants to ask Hunter specifically what his wording will be instead of us speculating. 

 

Phone call was made to Mr. Hunter to answer questions:

 

Consent forms for 3/19 trip to go out Monday.  Checks for balance need to be turned in Mon., Tues, or Weds.  Chaperones are Susan Teeter, Ed McLean, Barbara Risman, Jenny Hunter, and David Hockenberger.

 

He confirmed that we are to go ahead and make reservations for the week of 8/8 at Western Carolina.  We need to make sure that we don’t set a precedent by paying for part of band camp expenses.  He expects guard to go to camp and they absolutely will go.  We will need an instructor, so we will have to find someone to fill in for Angela.

 

Mike brought up the fact that we paid Angela the same amount as the drum instructor, but she was only there 1/10 of the time as he was.  Board wants Chip to draft a letter to express our concerns about the expectations of the guard instruction.

 

Motion to adjourn by Terry and seconded by Debbie.  Meeting adjourned at 9:02.
