Enloe Band Booster Minutes – March 12, 2009

Meeting called to order at 7:01 pm. by President, David Still
- Minutes of the February, 2009 meeting – The minutes of the previous meeting were reviewed. Motion to approve minutes by Rhonda Connor, seconded by Drew Morrison-Rowe. Unanimously approved.
II. Band Director’s Report
Mr. Hunter reported that there should be no conflicts with freshman seminar and marching band students this year. Freshman seminar will not be held.
Our Jazz Band went to the UNC Jazz Festival and received the top combo!!
Band related dates are in the process of being reviewed and submitted for next year’s school master calendar. Symphonic and Wind program will also include Jazz Band next year. Overall, there are no changes and the usual calendar items are included. As you can imagine with our magnet school, the performing arts calendar is very full.
Due to increased security issues at Enloe, it was noted that we will need to provide one security guard for every 100 persons at our events on site. The cost for this would be incurred by the Band Boosters. Discussion took place regarding how to raise funds for this new expense. Instead of adding to the budget or charging admission, it was suggested by Mary Ann Williams that we “pass the hat” and ask for contributions. This is something that Ligon does and it is successful and more appealing than charging admission. Everyone present was in agreement that the pass the hat option would be a better choice.
Remaining rehearsals for the upcoming festival at Holly Springs High School will take place on the next two Mondays for Symphonic Band and next two Wednesdays for Wind Ensemble. Due weather and illness the past two Monday rehearsals were cancelled. These will not be made up. Mr. Hunter shared the itinerary for Festival on Thursday, March 26th which poses a challenge. He requested assistance from the band boosters in arranging for a meal that day. The Symphonic students will need to leave Enloe prior to lunch. Most of these students will be at the festival for the duration of the day and possibly into the evening. Schedule, time constraints, and meal arrangements were discussed and it was decided that the students will bring a lunch/snack to eat on the bus. They are scheduled to practice and perform upon arrival and a mid afternoon pizza meal would be provided to them after they perform. A motion was made, by Drew Morrison-Rowe, seconded by David Hockenberger to approve spending of up to $250. for this purpose. If additional funds are required, a request will be communicated to board members prior to the expenditure.
Believe it or not Marching Band season has begun. The drum line had their first session this week! The group has been proactive with show ideas, etc. Mr. Hunter plans to provide them with a deadline. A decision will be made over spring break and music will be written and passed out before the end of the school year!
III. Treasurer’s Report – Jay Johnson reports that he will forward the official report in the next few days.
IV. Fair Share – Wendy Daly reports that fair share collections are down to three marching band members and two color guard. Two of the three marching band members are seniors; therefore the funds should be collected by June. Classroom fair share letters will be going out within the next week or so.
- Operations Report – Beverly Hockenberger will work with Mr. Hunter to coordinate the meal for Symphonic Band students who are staying into the evening while attending festival.
Middle school auditions will be held on the 1st Monday and Wednesday in May. Chaperones and snacks will be provided for the auditions of Ligon, Martin, and Carnage students.
VI. Ways and Means – Jim Connor reports the initial sign up for the Durham Bulls concessions is underway. If you are interested and have not done so already, please contact Lynn Condreay as soon as possible. The first dinner night out at Pizzeria Uno was held last week. The net proceeds have not been reported yet, but is expected to be approximately $40 - $50. The next dinner outing is planned for Chick-Fil-A. A specific date and location will be determined soon.
- Old Business:
Band CampUpdate: Checks have been sent to both Frostburg and Holiday Tours. Lanyards have been purchased. Discussion regarding a DCI night similar to last years was enthusiastically encouraged.
Nominating Committee: Please contact David Still as soon as possible if you would be willing to serve on the nominating committee. It is vital to the continued success of the Enloe Band program that we have a nominating committee in place as soon as possible. This is a short term commitment for a few folks to seek nominations for the upcoming year. Mr. Hunter plans to request assistance with this via email or note home to all parents. If you have not had the opportunity to volunteer this year, PLEASE come forward now!
Equipment Trailer: Presented by Drew Morrison-Rowe. Estimated cost of approximately $1,700 – $2,000 for a new trailer. The open landscape type trailer will be used at away camp, on site camp and competitions. Mr. Hunter feels strongly that we do need to pursue this as it is a necessary item. With the size of our pit larger than before, we do require a trailer to transport equipment to and from the fields at camp and competitions. The trailer will be used to carry the Gator to camp and then the Gator would be used to haul the trailer once on-site. It is hoped that the trailer would be stored, locked, in the area of the football fields near the activity buses or near the band shed. We should have the funds necessary for this purchase and will utilize our non profit organization status to obtain the best possible price. This would be needed prior to camp by the end of July. Detailed costs for the trailer, storage possibilities, and all associated items including title, insurance, etc. will be provided via the Marching Band Yahoo group prior to next month’s meeting. It was noted that the cost would come from marching band funds.
- New Business:
End of year banquet: New itinerary, banquet at 5:00, performance at 7:00 p.m.
April Meeting: Due to spring break, next month’s meeting is scheduled for the third Thursday of the month, April 16th.
