Enloe Band Booster Minutes

 

Meeting date: May 14, 2009

 

Location:  Enloe High School Band Room

 

Attendees:  Robert Hunter, Matt Rice, Jim and Rhonda Connor, Brent Carter, Greg Turner, Rhonda Connor, Beverly and David Hockenberger, Denise Scholl, Mary Grant, Mary Ann Williams, Lynn Condreay, Wendy Daly, Daniel & Susan Mann.  Drew and Sara Morrison-Rowe, Anabella George, Noreen Berger, Bill and Joanne Schmitt.

 

The 2009 – 2010 budget options were presented by Treasurer, Jay Johnson.  A question and answer session took place prior to the board meeting with all options explained, discussed and commented on.  Thank you, Jay, for taking the time to prepare and thoroughly explain the budget to those in attendance prior to the meeting.

 

A motion was made to officially open the meeting by David Hockenberger, seconded by Rhonda Connor.  The meeting was called to order at 7:15 pm. by Vice President, Jim Connor. 

 

  1. Minutes of the April meeting – The minutes of the April 16, 2009 meeting were reviewed.  It was noted by Beverly Hockenberger that a table is not usually set up for the Enloe new student/parent orientation.  Motion to approve minutes was made by Greg Turner, seconded by Mary Ann Williams.    

             

  1. Band Director’s Report – Auditions went very well this past week.  Although band participation was high, chorus and orchestra numbers were down.  Marching band participation is also up.  Mr. Hunter attributes this to the middle school night and tours as well as the joint concert with Hunter and Ligon.  The audition day tables set up outside were very successful.  As parents arrived to drop off their students they were able to ask questions and obtain information about our band programs.

 

The date for the Symphonic Band concert was changed again recently. The concert will now be held on Friday, May 29th.  Mr. Rice personally apologized to the group indicating it was an oversight due to a Community School Application that had been submitted earlier in the year but not entered on the Enloe Master Calendar.  Mr. Hunter will excuse students with conflicts due to the date change only if they are presented to him now!   

 

This change has resulted in a conflict for the Durham Bulls concession slots on May 29th.  Please contact Lynn Condreay, lcondreay@nc.rr.com, if you are able to work that night so that Symphonic Band students can attend their concert.  Thanks!

 

  1. Treasurer’s Report - The report was distributed prior to the meeting and posted via Yahoo Groups on May 11.

Jay Johnson presented budget recommendations for approval on the Jazz Band, Classroom Band, and Marching Band Budgets for the 2009 – 2010 school year.  Discussion took place on each of the three budget’s options with recommendations from Mr. Hunter and suggestions of the band boosters in attendance.   The following items were presented for approval: 

 

1.  Jazz Band – By recommendation of Mr. Hunter, Jazz Band fair share will be waived with the understanding that the budget will be determined by participation in general band fundraising.  Funds generated will be credited to Jazz Band account only after members satisfy their other fair share commitments (classroom and marching band).   Whatever money is earned above, will be credited to the Jazz Band.  The recommendation presented was unanimously approved.

 

2.  Classroom Fair Share -   A motion was made by Mary Ann Williams, seconded by Lynn Condreay, to reduce classroom fair share from $95 to $70.    The majority were in favor, with two opposed. 

 

            3.  Marching Band - A motion was made by Jay Johnson to increase the marching band fair share from $775 to $825.  This increase is necessary due to an anticipated shortage of our fundraising goal next year of $9,000 for the general fund.  Future participation of all members in “general” fundraisers to reach this goal will result in a final payment discount.  It will be determined by the Board in December, 2009 if this contingency payment will be waived.  If our general fundraising goals have not been met, this final payment of $50.00 will be due in February, 2010.  The motion was seconded by Rhonda Connor and unanimously approved.   

 

IV.       Fair Share – Many classroom fair share balances remain outstanding and are posted on the band room door.  There are also two marching band and three guard members who have outstanding balances.  Mr. Hunter noted guard auditions will be held on May 21 and 28 and those with outstanding balances will not be eligible to participate.   A notice will also be placed in the program and announced at the concert.  Students and parents can check the list on the band room door to determine if their classroom fair share payment of $95.00 is outstanding.  Please contact Wendy Daly if you have any questions regarding fair share balances.  Establishing an earlier due date for classroom fair share will be discussed in further detail at the next monthly meeting.

 

V.        Operations Report – Two volunteers are needed for each of the upcoming concerts on May 29 and May 30 as ushers to assist with phone control, etc.  We will also need a one or two people each night to man the DVD and magnet sale table.  Please contact Beverly Hockenberger if you are able to assist with either of these needs.  The donation table will be set up in a separate area.  These donations will be used for security guards at band functions.  A new policy will require school groups to provide security at their events. Mr. Rice reports that we will be required to provide one security officer for every 100 people, with a three hour minimum at $30.00 per hour.   

VI.       Ways and Means – Jim Connor reports the sale of Enloe blankets continues.  The initial cost has been covered with 12 sold out of 25 thus far.  Remaining proceeds will go into the band general fund.  There are also five hats remaining for sale.     

 

  1. Old Business:

Band CampUpdate – Rhonda, Mary Ann and Beverly met with marching band leadership last week.  It was an opportunity to share with students why we utilize parent volunteers, what we do, and what we can do to help.  Policies and rules were also discussed. 

A parent and chaperone meeting is scheduled for July 7 at 7 p.m.  It was noted that WCPSS volunteers must register each school year after July 1.  The Media Center will be available during the meeting on the evening of July 7 to provide chaperones the opportunity to complete registration prior to band camp.  There will also be a chaperone meeting on July 30th.

 

  1. New Business:

Treasurer – Jay Johnson

Secretary – Joanne Schmitt

 

A motion to approve the officers as presented was made by David Hockenberger, seconded by Daniel Mann and unanimously approved.

 

A motion was made by Greg Turner, seconded by Jay Johnson to grant President Elect, Mary Ann Williams, authority to execute documents and conduct business from this date forward on behalf of the Enloe Band Booster Organization.  This motion was unanimously approved. 

 

The meeting was adjourned at 8:25 pm.
