Enloe Band Booster Minutes – November 2007

Meeting date: November 8, 2007
Location: Enloe High School

Attendees: Ron Scott, Beverly Hockenberger, Sara Morrison-Rowe,

Meeting called to order at 7:12 pm by President Ron Scott

I. Minutes of the October 11, 2007 meeting – An amendment was
requested to add Rhonda Conner as present at the meeting. A motion
was made by Susan Siphers to approve the minutes as amended. Rhonda
Connor seconded the motion and by unanimous vote the amended minutes
were approved.

II. Band Director's Report- Robert C. Hunter

Mr. Hunter reported that Friday, December 14 is the date for the
marching band tours to middle and elementary schools. The purpose of
the tour is for recruitment of new band students. This tour is for
musicians only, not the color guard. About eight schools have
requested that the Enloe Band come to their schools. Mr. Hunter
contacted the band director at Martin Middle School and has arranged
for a tour to Martin. He stated that we will not go to Ligon since
December 14 is an early release day for Ligon. This tour is the only
day of school the marching band misses. Mr. Hunter stated that the
band needs to leave Enloe at 6:20am. For any student who wants to
drive, Mr. Hunter will need documentation showing that they are
driving and who is riding with them. Students who live in Apex and
Cary can drive straight to Salem Middle School instead of coming to
Enloe. All drivers will know the route and will follow the bus to
each school in a caravan. Salem is the first stop at 7:30am, then
Apex Middle School, then Martin Middle at 11:00am. Students need to
eat breakfast and pack a snack. The lunch stop will be at Crabtree
Valley Mall. Mr. Hunter has let schools know that they can make one
additional stop. Mr. Hunter stated that the band will play their
show, play Name that Tune, teach the students how to do some basic
marching maneuvers and have an easy mock march off.

Mr. Hunter stated that the marching band will be performing at the
Christmas Concert on Thursday, December 6, 2007. Mr. Hunter has
asked the students to come up with a way to recognize the seniors.
If students don't come up with another way, there will be a brief
recognition at the concert. A question was raised if 7:00am was
early enough to be at Enloe on the morning of the Christmas Parade,
November 17, 2007. Mr. Hunter responded that it was early enough.
Beverly Hockenberger confirmed that she will follow the drum line in
the parade.
Mr. Hunter reported that there will be no spring trip this year. The
Gatlinburg trip is not scheduled for this year. He stated that the
bands will participate in the Concert Festival in March, probably
March 10, 11, or 12. Mr. Hunter stated that this is a day trip and
sixth period students will probably not miss school. The Wind
Ensemble plays the hardest music, so they will be scheduled in the
evening at the Festival with the symphonic band playing earlier in
the day.

Mr. Hunter also reported that we will not do a recording session this
year. A question was raised if there was a video of the marching
band for this year. Ron answered yes, that John Rees is working on
the video. Ron reported that four seniors had not turned in their
pictures to John Rees.

Mr. Hunter stated that in response to Drew's wish list (Drew Morrison-
Rowe submitted suggestions for new instruments via e-mail earlier in
the week); he does have some of the same items on his list. A
suggestion was made for Mr. Hunter to e-mail Jim Connor his wish list
so Jim can check on grant money. Mr. Hunter stated that perhaps we
should budget more for repairs each year. It was noted that we are
planning to sell the old drums. Mr. Hunter stated that we currently
have four marching baritones. If more students are interested in
playing, Mr. Hunter would like to have more than four marching
baritones. He reported that our vibes do not vibrate, so we need a
new vibe that can stay indoors. Ron noted that Drew is correct that
the best prices for new instruments can probably be found at this
time of year.

It was noted that we need help for Saturday in loading the truck. On
Friday after school, the students will prepare as much as possible to
load on Saturday. Drew will really need help on December 14, a
weekday, to help with loading and we will need a parent chaperone on
the bus that day.

Enloe Band Boosters
November 08, 2007

RITA GOODMAN SCHOLARSHIP FUND ACCOUNT:
As of September 14, 2007, we have $5,649.15 in one of their
Mutual Fund Accounts (Ultra Short-term Income-Inv.).

ITEMS OF NOTE:

Donations Received:
We received a $100.00 donation from Paul Keadle at one of the
football games. Paul is the husband of Keila Keadle, who has
volunteered to perform the audits of our fiscal years 2005 and 2006
in December.

Food Donations Fund for Games/Competitions:
To date we have received $2,263.00 in donations from parents. We
have spent $2,373.90. We have a shortfall of $110.90 for the
season. This shortfall would have been $250.00 higher if the 10/26
football game had not been cancelled. We may need to consider adding
an amount in the budget next year to supplement the donations. We
also need to take into consideration that of the $2,263.00 donated, a
single donation of $450.00 was by the Shah family who will not be
here next year. With this factored in, we would have a shortfall of
around $800.

Analysis of Budgeted Income/Expenses to Actual:
With Marching Band season coming to an end, I plan to meet with Liz
Scott before the next meeting to review the actual vs. budgeted fair
share income and expenditures. This will help us determine the fair
share carryover amounts that will be applied toward the $95 fair
share payment due for classroom bands. We still have approximately
$11,000 of future budgeted classroom band expenditures to meet before
the school year ends. The amount of carryover fair share earned will
greatly impact the amount of cash we collect. We need to look at
this closely in light of the fact that our total funds are around
$29,000 and we still have some marching band expenses to be paid.

Ron Scott commented that we need to add money back in the budget for
food for games and competitions. Mr. Hunter pointed out that one
option would be to have students eat from the concession stands at
games. He would like to keep the meal at the competition day.

Beverly Hockenberger suggested that we may find clubs or churches
that would donate a meal to the Marching Band. It was noted that we
had more students to feed and food costs were higher this year. Jim
Connor is working on getting corporation donations. Ron suggested we
think about the spaghetti dinners next year.

Patricia cautioned that we really do not have $29,000 to spend. A
portion of this money will be used for fair share. Ron pointed out
that many bands have more of their fundraising money going to the
general fund instead of the fair share. Ron reminded Booster members
that many Christmas gifts can be purchased through Kroger. One member
purchased air-line tickets using the Kroger card and others stated
that many different stores' gift cards can be purchased with the
grocery cards. It was stated that we should keep a balance of at
least $20,000 to cover grocery cards. Ron requested more ideas for
fund-raising.


IV. Operations Report – Beverly Hockenberger

Beverly asked for any considerations or concerns about the marching
band season, so that we can address for next year. Please contact
Beverly Hockenberger with your comments. Beverly expressed many
thanks to all who have donated their money, time, and talents to the
Marching Band this year. The marching band depends on parent
volunteers and donations.

Beverly stated that we need to replace the scaffolding on the
practice field. Costs for replacement scaffolding run about
$2000.00. Mr. Hunter said we can revisit how we orient the field and
he thought that he could have a good view from the bleachers at the
other end and may not need scaffolding. Mr. Hunter will let us know
at the December meeting if the new plan will work or if he needs
scaffolding. Mr. Hunter requested that someone who is good with
geometry and spatial orientation come with him and look at the
field.

Beverly asked if someone will be handling the parade banner. Susan
Siphers stated that it was being handled.

Beverly stated that Sam's Club has money to give the band and
requested that the band come play at Sam's Club either on December 8
or 15. Mr. Hunter said we could put together a pep band. Ron will
ask Sean to put this together.

Joanne Kochuk is in charge of the banquet on November 17. She stated
that only 25 families have responded. The deadline for sending money
in for the banquet is Thursday, November 15 at 4:00pm. Joanne would
like a freshman mom to call all freshman families and a color guard
mom to call the families of color guard. Freshmen may not understand
what the event is all about, so we need to let them know.

Jim Connor is working with Lorraine Johnson and Rhonda Connor to
handle off-site band camp. Jim is working on a new location. Mr.
Hunter requested that the new volunteers get with Penny and Kaye, who
have handled band camp in the past, to iron out details.

V. Ways and Means

Lynn Condreay reported that the poinsettia sale only raised $112.
Donuts and healthy alternatives such as granola bars, juices and
fruits will be sold each Friday beginning on November 9. Lynn stated
that these items will not be sold on December 21 and they will start
back on January 11. Lynn noted that this year four parents will
rotate weekly picking up the donuts. Students will be asked to help
sell from 6:45am -7:15am. Volunteers must contact Lynn Condreay to
get scheduled. Lynn stated that volunteers need to be at Enloe from
6:40am to 7:45am to set up tables, sell, and count money. If
parents know of office parties or other events where boxes of donuts
could be served, they can request ahead of time that extra donuts be
ordered and pick them up in the car pool line. Lynn pointed out that
donuts are great reheated in the microwave.

Fund-raising for fair share is ending for the year, but parents can
still continue raising money through the grocery cards. Lynn
commented that we need to evaluate how we do ways and means. Parents
must step up and take charge of fund-raisers, for example, we need
someone to take charge of fruit sales and poinsettia sales for next
year. There was interest in having a restaurant night to raise
money. Lynn said that she would not try to do a restaurant night
until January. Lynn reminded everyone that fruit pickup day is
December 1. Ron and Mr. Hunter both praised Lynn's work. Band
Boosters members expressed much gratitude to Lynn for her many hours
of work in handling fundraising.

Lynn reported that we are not doing Christmas Parade concessions this
year. The GRMA has changed leadership and Lynn reported that they
were requiring that we purchase CDs to sell which would require a
large amount of money up front. Lynn made the decision not do this
because she believed it would be a guaranteed loss. Mr. Hunter
stated that we continue to march in the Raleigh Christmas parade
because it's a big tradition, but Mr. Hunter stated that in the
future we may not continue to do the Raleigh parade, but may
participate in Christmas parades in other Wake County towns.

VI. Fair Share – Liz Scott

Liz Scott reported that 23 families have still not paid their fair
share due in November. Efforts are continuing to contact these
families.

VII. Old Business:

No old business was reported.

VIII. New Business:

Ron Scott apologized to Larry McMillan for inadvertently leaving his
name out of the Cary Band Day Program.

It was reported that we did clean the pants of all uniforms for
$292.41 after Cary Band Day. Warm-up suits have been purchased for
all color guard members to wear in the parade. The warm up suits
will be the property of the school. Guard members who wish to do so
can order and purchase their own warm-up suit from the website.

A motion was made by Joanne Kochuk to adjourn the meeting; the motion
was seconded by Liz Scott and the vote carried unanimously. The
meeting was adjourned at 9:01 pm.

The next meeting is scheduled for December 13th at 7:00pm at Enloe.
