Enloe Band Booster Minutes-October 2010

Enloe Band Booster Minutes

Meeting date:  October 14, 2010

Location:  Enloe High School Band Room

Attendees:  Anabella George, Wendy Daly, Karen Brannan, Wyatt Brannan, Mary Still, Barbara Lee, Rhonda Connor, Greg Turner, Mary Ann Williams, David Hockenberger, Robert Hunter, Ramona Jenner

The meeting was called to order at 7:00 p.m. by President, Mary Ann Williams

  1. Minutes of the September 9, 2010 meeting – The minutes of the September 9                meeting were reviewed.  A motion to approve minutes was made by Karen Brannan, seconded by Wyatt Brannan.  Minutes were approved.

  1. Band Director’s Report – Robert Hunter

Things are going well.  In the classroom, there is a lot of testing taking place in the brass, percussion, and woodwind classes as a focus is on fundamentals.  While there is some testing in Wind Ensemble, the focus is on ensemble playing.

There will be an “informance” concert presented by the Wind Ensemble on Monday, October 18 at 7:00 p.m.  Mr. Hunter invited Band Boosters to speak to connect with parents.

The Jazz Combos are doing great, with the top combo already performing 2 different gigs.

Marching Band continues to go well.  Mr. Hunter noted how nice it is to have such a great staff, and the impact that Mr. Jenner, Ms. Bishop, and all staff members (Mr. Houshield, Mr. Moss, Mr. Albrecht)  have made in working with the band this year is terrific. He noted that Pete Albrecht is in his final season with us and we want to thank him for his work with the band.  Mr. Hunter is starting to look for a replacement for Pete to work with pit next year.

Friday, October 22 is Middle School night.  There’s a little concern that the early release day may impact attendance, but we are hoping for a good turnout.  The focus has been on recruiting students from Ligon, Carnage, and Martin.  We have staff members working at each school to help recruit (Mrs. Bishop at Ligon, Mr. Pellas at Carnage, and Mrs. Jenner and Ms. Wilson at Martin).  Mrs. Bishop is working to revive guard in trying to connect to dance teachers at each of the middle schools to ask their assistance in promoting guard.

Mr. Hunter noted he may consider a new competition site next year in place of Wakefield…one that is more in line with our show style.

Mr. Hunter noted that the students and staff believe in what they’re doing.  They’re working hard, making progress, and reflecting through self-evaluations.

Matt Minick (Cary BD), who arranged our show, worked with the band on 2 different occasions to share ideas and make some visual suggestions for the show.  Mr. Minick is a former Enloe Band student and feels very connected to our program.   We appreciate his support.

  1. Treasurer’s Report –  Greg Turner

$54,458 in checking

$20,255 in savings

We still do not have a correct invoice from Frostburg, but it will be coming soon.

Budget for the year was $79,500 and we have spent between $45,000 and $46, 000.  Our overall financial situation is good.

  1. Fair Share –  Wendy Daly

November 5 is the next due date for fair share payment.  Wendy is waiting for citipass numbers to update fair share numbers.

  1. Operations Report – Karen Brannan

Karen expressed thanks to Patti Snow and Mary Still for covering competitions.  Smith Raynor is working on organizing the Banquet and David Hockenberger is working on putting together the slideshow for the banquet.   Jennifer Norton, Diana Best, and Mary Ann Williams are helping with awards.

There was a question regarding an end-of-season party.  We may have this after the last home football game.  Mr. Hunter also noted that the last football game will be a Halloween costume game.

November 17 is Magnet Open House at Enloe.  Assistance is needed in setting up a Boosters table with promotional items and information.  It was noted it would be a good idea to run a DVD of the show as a visual.

  1. Ways and Means – Brent Carter

Brent was not present at the meeting, but it was noted that  Marching Band pictures will be taken on Saturday, October 30 on Cary Band Day.  This is a fundraiser for us.  Pictures will be made of individuals, the entire band, and maybe sections if time allows.

We still need to sell about 760 more pounds of fruit to avoid a $100 overcharge.  A suggestion was made to announce this at the Wind Ensemble concert Monday and set up a table for last minute orders.  Fruit delivery is Saturday, December 4 at 7:00 a.m.  All students who sold fruit are to report at 7:00 a.m. to unload the truck.

  1. Old Business:

No other old business was discussed.

  1. New Business:

It was noted that Fair Share for the classroom this year is $30 per student.  This will be announced at the Wind Ensemble Concert and Mr. Hunter will get a letter out to parents.

Greg Turner proposed taking a look at revising the marching band budget as this year’s budget was built for 90 students, and we have 74 students.  He noted we need to adjust the income line for this.  Minor adjustments were noted where workable revisions could be made.  The revisions ensure that we are only $580 over budget this year.  We have also received a couple of tax refunds to help us this year.  Greg noted the cost of band camp is “elastic” in some regards, so this amount was adjusted.  He noted that since we have no guard, money has not been spent that was originally allotted for guard.

Greg noted that this is a one-time fix for us.  We will not be able to make such adjustments in the future.  We need to make a real effort to boost numbers in the program next year to help the financial picture.

Greg Turner made a motion to adopt the budget revisions presented in the booster meeting.  (I will ask Mr. Turner to post this revised budget on the yahoo group site if it is not available to be attached to our minutes.)  The motion was seconded by David Hockenberger and was passed.

It was discussed that it helps for students to know what items money is being raised for with the general fundraiser activities, such as car washes, the Christmas tree sales (past fundraiser), and doughnut sales.  Mr. Hunter noted that he will make a list of items.  One item he knows about now is the need for brackets for tubas to keep them off the floor and in better shape.

A concern was noted regarding the need to recruit and drive membership up in the marching band.  Mr. Hunter again noted Helen Bishop’s efforts to recruit for guard.  Mrs. Bishop is recruiting her own band students and connecting with dance teachers at Ligon. Mrs. Jenner is connecting with the dance teacher at Martin and is recruiting band students as well for 8th grade night.   Mr. Pellas is recruiting band students at Carnage and is connecting with the dance teacher to try to create excitement with 8th graders who may be coming in next year.

The meeting was adjourned at 8:10 p.m.

Next month’s meeting date: November 18, 2010
