Meeting Called to Order at 7:02 pm

Old Business
Minutes – August 04
No changes or corrections were recommended for the August, 2004 minutes. A
motion was made to approve the minutes by Kaye Poole and seconded by Judy
Melton.
Key Issue
The last correspondence was an email response from Mr. Gardner stating his
position. Text from his response follows:
Thank you for your email and contacting me about the concerns that you
have regarding entrance to the buildings following marching band activities
and events. I appreciate the leadership you provide as Band Boosters
President.
Please let me express very clearly my support for the band program. It
has always been and continues to be a program that I fully support and one
of which I am very proud. Repeatedly, I have shared my own personal experiences
with marching band, and I know firsthand the wonderful experiences that
participation in the marching band can afford students. Please do not
view or equate keys and/or entrance to the building as a lack of support of the
program in any way.
With regard to assigning a master key that controls entrances to the
exterior of the building, we have been in communication with Wake County
Security Division over the years since the re-keying of the building as tied
with earlier renovations. We have followed the practice of only issuing keys
to individuals responsible for security access to the building, responding
to alarms, and providing security during and after hours of school operations.
We have followed the practice as communicated by Wake County Security Division
of not issuing master keys to other personnel. While I cannot answer to how
other schools have responded to such communication or chose to handle similar
situations, I can say that we have honored this practice and followed it as
discussed in our communications with the appropriate security personnel. Once
master keys are released, it can (and has in the past as I understand it)
jeopardized the security of who is authorized to possess keys, not to mention
the security of the building and resources. My position has been to always be
as proactive as possible and follow communicated practice as set by the school
district. In the same light, I have always tried to find ways to support
personnel and programs while honoring the practices. It has been my desire and
expectation to have the personnel and plans in place to support and assist you,
the students, and Mr. Hunter in gaining access to the building when necessary.
I regret that on some occasions the experiences that I am learning you have had
may not be consistent with the timing of your arrivals to school after an event.
I will discuss such information with the appropriate people. What may appear on
the surface as a simple issue can have many complex facets.
I do take your concern seriously. I will explore what options we have.
Again, let me emphasize my support for our band program and thank you
for your involvement and support. Thank you.
Lloyd Gardner
Judy asked what the next step is for action. Chip invited Mr. Gardner to come
to our meeting to discuss the issue but he replied that his schedule was already
booked and he could not attend. Mr. Hunter mentioned that Mr. Brown who is a
part time teacher has a key but that the theater teacher does not. Mr. Hunter
presented the possibility of a system where keys can be checked out when needed.
He also pointed out that it is no longer up to Ms. Vogle. Consensus is that we
should not let this issue drop. It was mentioned that we should use in our
argument that the coaches have keys. Also, Beverly Hockenberger brought up that
we can state that it is a safety issue concerning the kids, for example, bad
weather where the kids cannot have access to the building. She thinks that
might get their attention.
Director’s Report
Mr. Hunter stated that he is going to Ligon Middle School on Mondays during
lunch and Carnage on Wednesdays to work with kids. He feels that this has been
very beneficial and the band teachers there are supportive of this program and
very appreciative. Students there are coming during their lunch hour to get the
extra instruction. He also stated that he has a working relationship with
Martin Middle School.
The All District music list has been published and he would like everyone to get
a copy of the music.
Kaye asked about the tuxedos for wind ensemble. No one has volunteered to fit
students and Mr. Hunter feels like everyone is just going to do this on their
own.
Things are still being stolen out of the guard room with all the doors locked.
The girls in guard believe it is one person in guard. They are going to
“watch her†and make sure that no one is left alone in the guard room.
Treasurer’s Report:
Mike went over budget items and asked about the bill for the new drums. Mr.
Hunter has not received it yet.
Fair Share
All fees except one is paid and student is not participating until it is paid.
It’s been a few weeks and Chip feels like the student will probably not be
back.
Ways and Means
Fruit prices went up slightly due to bad weather. The company has assured us
that the fruit quality is guaranteed, as they also have back-up growers in
California. Orders and money are due Oct. 5 and the profits will be credited to
student’s fair share accounts and statements sent out before the Nov. 1
payment deadline.
Wrapping paper fund raiser is underway. There is the tax issue and Mike said he
will apply to the state for tax ID #.
Kaye talked about our new fund raising program called Scrip. The program
involves gift certificates purchased by Enloe Band Boosters at a discount and
sold to parents at face value. The profit varies but averages between 2% and
13%. Kaye will edit the list for us to include only local merchants.
Spring Trip
Mr. Camphouse has confirmed the date when he can work with students. He is
available Saturday afternoon/evening March 19. This means that we can leave
Saturday morning instead of Friday which will save students one night’s
lodging expense. Ruth is checking into rafting companies for a rafting trip on
Sunday. Ruth says the New River is only ½ hour away from Radford, VA. We will
return Sunday evening. Mr. Hunter pointed out that Monday is the start of
spring break.
Misc.
Chip reports that there are now 166 email addresses signed up for the band yahoo
group and 102 signed up for the marching band group, with lots of overlap.
Nancy passed around the ad for Cary Band Days. She doesn’t know if it will be
black and white or color. A vote was called for to decide if the booster
organization would fund the ad, and hopefully start a yearly tradition of
recognizing seniors. Mike Johnson made a motion to accept the ad and have
boosters pay for it. Susan seconded. Motion passed unanimously.
New Business
Bob Marks has a draft ready of the Band Directory. The secretary will review it
and it should be out before the next meeting.
Mr. Hunter brought up the fact that All District auditions are in Greensboro
this year. He mentioned reserving buses for transportation. The issue, besides
expense, is that he is a judge and is always the last to leave and students
would be there until late that evening, whereas if they had gone on their own,
could leave as soon as their audition was over. His general feeling is that
students would rather go on their own, but he will do whatever is the general
consensus.
The school is not purchasing the tuba racks, but they will be giving us $1300
for instruments.
Marching Band
The boosters bought $300 worth of new Nathans for the Marching Band. We were
short a few this year and some need to be replaced every year. Jill was able to
get these for ½ price.
Chip bought 2 new trap tables for the pit.
Band parent volunteers are having difficulty driving onto the baseball field
with water because of the curbs. We have asked Ms. Vogle if ramps could be
constructed. Her response was that it cannot be done until other construction
is finished.
The Avery’s and Kirby’s have proposed that the Boosters look into purchasing
a John Deere mule. They are gathering information and pricing. They also need
to take into account storage, insurance and maintenance. We don’t need to
rush into this because whatever we do will be too late for this year
Mike Johnson made a motion to adjourn. Drew seconded. Meeting was adjourned at
8:30 pm.
Next Band Booster Meeting is Thursday, October 21, 2004 at 7:00 pm in the Band
Room. NOTE: This is changed from our original date of October 14. The
November meeting has also been changed from Nov. 11 to Nov. 18.
