Enloe Band Booster Minutes

Meeting Date:  September 17, 2009 – 7:00 p.m.

Location:  Enloe High School Band Room

Attendees:    Slee Arnold, Brent Carter, Jim and Rhonda Connor, Wendy Daly, Anabella George, Mary Grant, Robert Hunter, Tom Jenner, Jay and Lorraine Johnson, Barbara Lee, Beverly and David Hockenberger, Matt Rice, Denise Scholl, Bill and Joanne Schmitt, Mary Still, Greg Turner, Lisa Ward, Mary Ann Williams.
                                                                                                                    
The meeting was called to order at 7:00 p.m. by President, Mary Ann Williams. 

  • Minutes of the June, 2009 meeting – A motion to approve minutes of the June 11, 2009 meeting was made by Lorraine Johnson, seconded by Rhonda Connor.             

           

  • Band Director’s Report  - Robert Hunter
  • Middle School Night is planned for Friday, September 18th at 4:00 p.m. rain or shine.  Middle school students will practice with EHS students and pizza will be served prior to the game. 
  • Wind Ensemble Informance is scheduled for Thursday, September 24th at 7:00 p.m.  Students will have at least three pieces ready to perform.  This night will also include information for parents.  Marching band rehearsal will be shortened that day due to the concert report time.  
  • This year we will participate in the Raleigh Christmas parade and not Cary, possibly rotating from year to year. Please note this is a change from the original calendar draft earlier in the year. Discussion took place regarding past years and the possibility of selling donuts, etc. on parade day; however it was determined not to be profitable in the past.
  • Community incident at after school rehearsal - Matt Rice provided details of an incident which required the band to clear the field during marching band practice after school.  There was a shooting several streets back from the school in which suspects and police activity was seen on and around the Enloe campus.  Mr. Hunter was on the podium conducting practice.  Enloe administrators, Dr. Thompson and Mr. Rice were on site at Enloe at the time.  After advisement from Wake County School Security, Mr. Rice drove down to the field and instructed Mr. Hunter take students off the field and bring everyone into the building.  There were plenty of parent volunteers present and response was quick and excellent without incidence. 

Parents were thankful for the safe outcome, however concerned about after school activities and safety.  Parents would like to see communication of incidents such as these in addition to timely communication from the Raleigh Police Department to Enloe security officers and administration during after school activities.   Mr. Rice invited suggestions and comments in order to have efficient and timely communications in place for the future.

  • Treasurer’s Report  –  Jay Johnson

 

  • The new fiscal year budget has been set beginning July1 with expenses anticipated at $85,000.  The balance hits a low point this month and payment of non-critical items will be delayed, if necessary.  A detailed report was posted on Yahoo Groups September 7th.
  • A huge thank you to the Lyon Foundation Inc. for a generous donation, in the amount of $1,000.  Discussion took place regarding the donation and allocation to our non-fair share goals for this year.  Donation was received after our budget was finalized and is considered additional funding.  This does not apply to general fund goal.  Mr. Hunter recommended this lump sum donation be earmarked for a specific item and not general expenses.  He suggested purchasing a digital video camera giving bands the ability to videotape rehearsals and shows.  This would be an extremely useful learning tool.  Recordings would also be posted to share with students and families. The camera would be kept in the band office and available, as needed, for rehearsals and shows.  A motion was made to approve digital video camera and accessories up to $1,000 by David Hockenberger, seconded by Gregg Turner.  All in favor, with one opposed. 
  • Fair Share – Wendy Daly

 

  • August fair share payments outstanding include 9 marchers and 4 guard members.  Of three NSF checks, two have now cleared, one is unresponsive.  It is noted that communication is very important.  If, for any reason, you are unable to meet the payment schedule according to contract signed, please contact Mr. Hunter or Wendy Daly, Fair Share Coordinator, to discuss various options.  Wendy will provide Mr. Hunter a list of students with outstanding payments immediately.  It is hoped that these obligations will be cleared prior to the first competition to avoid exclusion from participation.
  • One delinquent fair share payment from 2008-2009 was collected over the summer.  Enloe administration was instrumental in this collection due to policy of clearing outstanding fees prior to obtaining a parking pass.
  • Operations Report – Mary Grant

 

  • Officers and Committee Chairs are now listed on Yahoo Groups with open spaces to be filled.  If you are interested in getting involved, please consider volunteering for any of these open positions.  Thanks!!
  • Ways & Means – Brent Carter

 

  • Citipass Book sales have now ended.  Please make arrangements with Brent to return money and/or unsold books as soon as possible.   Mr. Hunter will remind students to turn these in and a list of the families with books out will also be posted on the band room door.

 

 

  • The car wash held on August 29 was a great success!  Thanks to senior, Tyler Grant, for doing a super job organizing the event and student volunteers for raising $850.  Way to go!  A date will be reserved in late spring for another car wash in the hopes that the new student leadership team will organize this as their first official order of business AND fun!
  • It is proposed by Brent Carter that all fundraising efforts go directly into general fund and not individual fair share accounts in the future.  Mary Ann Williams plans to dedicate our January 2010 meeting to this issue and requests parents start thinking about ideas now.  All parents are strongly encouraged to come to the January meeting to share suggestions, and participate in discussions that could affect next year’s fair share policies.
  • Fruit orders are due next week. Anabella George, along with volunteers, will be in the band room during band classes to collect, check and tally orders and money. Please return all fruit orders during band class on Friday, September 25.  In the meantime….keep on selling!  
  • Barnes & Noble Book Fair – Jay Johnson met with a few parents to gather ideas to expand this event that we participated in last year.  The possibility of inviting another Enloe group to join us was also discussed.  The event is scheduled for Friday and Saturday, December 11 & 12.  Small groups of students will perform on both dates at the Barnes & Noble in Cary.  All sales on those dates, with the mention of a code, will bring in 10% to our organization.  In addition, students with parent chaperones can sign up to work slots at the gift wrap table with 100% of donations going to the band general fund.  This is a wonderful opportunity during the holiday season to promote the Enloe Band and earn funds for our program at the same time!   
  • Donut sales – Breakfast items including fruit, granola bars, juice and donuts are sold every Friday morning.  Despite inability to advertise on the Loe Down due to being a parent and not student organization, we continue to do very well.  Last week was a sellout of 50 dozen donuts!  Barbara Lee will need more parents to keep this running smoothly each week and students are encouraged to help as well.  Sales take place just before school and you may volunteer for as few as one or as many Friday mornings as you like. Please contact her, barblee1@yahoo.com, if you would like to join the breakfast team. Thanks Barbara for keeping these sales coming in!
  • Old Business:

 

  • Band Camp – Rhonda Connor reports that band camp came in under budget.  Frostburg has been extremely fair with charges and we have established a good relationship with them.  Bus quotes for next year were also discussed.  Holiday Tours seem to provide the best price after comparing to many others in previous years.  Many thanks to Rhonda for organizing another awesome away camp!

 

 

  • New Business: 
  • Marching Band Photos will be taken after school and before football game on October 16th.   Please continue to check calendars and files on Yahoo Groups as they are being updated regularly.
  • Jim Connor shared a proposal he received for the sale of holiday trees this year.  Under consideration is a sale in conjunction with the fruit delivery date. Any number of trees could be ordered and delivered, with no cost, in three sizes.  We do not have to pay up front and we do not pay for unsold.  Brent will look into another possible location at Crabtree for more exposure.  Wendy will check with her Boy Scout group to be sure this is not the same supplier that provided trees that were not fresh.  Both will report back with their findings.  This event will need a volunteer to coordinate.  Please contact Brent Carter, if interested
  • Enloe Alumni Musicians Poster – Jim Connor presented an idea of collecting college band photos from alumni in uniform to be used in making a collage type poster.  This would be displayed at parent nights, middle school nights, etc, as a promotion for our bands – “Look where high school leads them”.  Please send photos to Jim Connor, j_h_connor@yahoo.com,  indicating name, date of graduation from Enloe and any information pertinent to the photo provided.
